The position of Escrow Managerby its nature is broad in scope and subject to modification from time to time. The following description is not meant to be comprehensive, but a general outline of duties and responsibilities.
Objective
To coordinate escrows and documents to achieve timely closings of homes sold. To provide various detailed reports. To provide administrative assistance to the Vice President of Sales and Legal Dept. as necessary. To manage the Escrow Assistant position. To manage the Intact Coordinator position.
Responsibilities and General Duties
Reports:
- Weekly Sales Reports– various reports on Sales, Construction status by neighborhood, Pricing of homes, historical and present, month end, broker co-op and an overall view of sales, sales goals, closings, cancellations and traffic.
Reservation/Contract Document Processing:
- Maintain a trust fund log of all checks received.
- Verify sales price, option selections, lot premium, incentives and commissions and acquire seller signatures.
- Audit sales file throughout the escrow process to verify all disclosures and documents have been signed.
Escrow/Lender Document Processing:
- Prepare and have signed by seller all necessary FHA, VA & USDA documents and provide these to lender and title company.
- Notarize Notice of Completions and Grant Deeds on every lot.
- Process any last-minute option changes and addendums or amendments.
- Provide copy of permit and city final to title company.
- Audit estimated seller statements and acquire seller signatures.
- Order warranties for model homes.
- Communicate with lender and title company throughout the escrow process.
Closing Statement Processing:
- Audit closing statements and distribute checks to accounting.
- Prepare breakdown for accounting of costs and concessions of each lot.
Preparing Sales Contract Documents for New Tracts:
- Assist legal department in preparing documentation for DRE processing including all documents distributed to buyer.
- Obtain tract specific disclaimers and disclosures by working with construction, customer service, land development and legal department for information specific to the tract.
- Obtain APNs and Addresses from land development
- Order Natural Hazard Disclosure report.
- Acquire all builder form information pertaining to tract.
- Coordinate with title all necessary documents to launch escrows.
Agent Agreements/Commissions:
- Prepare sales agent commission statements biweekly and provide to payroll.
- Prepare and maintain sales agent broker sales agreements.
