- 3 years Experience performing professional administrative experience and coordination of team events.

Job Summary
Howmet Aerospace, Hampton VA, Facility Engineering department, is currently seeking a Facility Engineering Administrative System Specialist to provide support to our shared resource engineering and maintenance teams. The ideal candidate will have experience working in an engineering office within a manufacturing environment. He or she will be responsible for a variety of administrative tasks, tracking Capital expenditures, maintaining project financial records, creating monthly reports, and maintaining asset inventories. The successful candidate will be a self-starter with the ability to work independently and take initiative when needed.
Essential Job Functions & Responsibilities:
Capital:
- Provide administrative support to submit and monitor requests for Capital project funding.
- Utilize Oracle software to monitor and review daily project spends.
- Communicate with various staff levels to obtain information and reconcile spending costs.
- Create monthly reports for project spend forecasts and tracking project status.
- Monitor, test, and maintain documentation for annual Capital financial audit processes.
Fixed Assets:
- Communicate with corporate Financial Shared Services to assign asset numbers.
- Process and maintain documentation for disposition of assets.
- Complete annual requirements for physical inventory of assets.
Contractor Safety:
- Assist Contractor Safety SPA with responsibilities to ensure EHS program compliance.
- Monitor Contractor prequalification process and maintain site listing of approved Contractors, Sub-Contractors, and Contracted Services.
- Develop prequalification reports for site management approval.
- Maintain site training records for all Contractors, Sub-Contractors, and Contracted Services.
Other Facility Engineering Administrative Duties & Maintenance:
- Input and track purchase requisitions in Oracle for procurement of materials and services.
- Create and update project schedule files and provide project support as required.
- Cross train in the MP2 system to assist Maintenance Administration.
Skills and Abilities
- Must have excellent technical skills with Web based applications and Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
- Proven proficiency understanding financial accounting practices, procurement processes, spend forecasting, and preparing audit documents.
- Knowledge to track, monitor and analyze financial data to verify actual expenditures to budgets and research variances.
- Outstanding communication skills, with ability to interface with all levels of the organization and external parties in a professional and effective manner.
- Highly organized with the ability to accomplish tasks while demonstrating a thorough concern for all the areas involved.
- Ability to manage multiple, changing priorities.
- Demonstrated initiative and ability to work independently and collaborate in a team environment.
