The New Jersey operations of Kleinfelder has an immediate opening for an Engineer’s Administrative Assistant / Project Administrator with 4+ years of experience in working on large projects for our Elizabeth NJ field office. 

Prior experience working with engineering and/or construction firms is preferred 

The successful candidate will work with a dynamic team of civil and environmental professionals to deliver real-time solutions and support to our clients and on-site staff.   

We are looking for a highly motivated, organized individual who is responsible for managing the administrative process flows, ensuring that the procedures in the office meet Kleinfelder and client standards, and are executed in the most effective and efficient manner.  Additionally, this position may require the management of other administrative processes as needed. 
  
Specifically, this position is responsible for ensuring that tracking of all project details is occurring with consistency throughout the Program and ensuring the use of the tools designed for the Client account including: 

• Deliverable Support - Processing of deliverable, tracking of draft and final due dates, and filing. 
• Safety Tracking – Processing and tracking of Safety tools (will receive Safety Training).  Helping to assure compliance with the Kleinfelder and Client safety requirements, forms and goals.
• Compliance with Client and Kleinfelder management Policies – Helping to assure compliance and education of the Client's Management Systems.  Use of proper forms, tracking tools, checklists and procedures. Works with local office team and KLF Business Manager to comply with all Kleinfelder policies and procedures. 

The ideal candidate will also bring a level of financial acumen to our team.  We are looking for someone with prior experience in functions including/similar to: 

• Project level financials, with the oversite and support from our senior financial analyst. Will assist Senior analyst with project level tracking, budgeting, billing functions.
• Assist in creating/maintaining efficient processes at the project site. Ensure our workflows make sense, do not waste time and support the team.
• Keeper of the location credit card, including approvals, batching and processing of purchases.
• Vehicle fleet support – Management of on-site fleet maintenance records, periodic maintenance appointments and scheduling.

• Advanced skills in word processing, spreadsheets, data base applications, and Powerpoint
• Knowledge of Deltek a plus.
