The Education Department Administrative Assistant plays a vital role in supporting a team of over sixteen teachers and the education management team, ensuring the department meets or exceeds its goals and objectives. This position is responsible for facilitating the efficient operation of the education department through a variety of administrative, organizational, and clerical tasks. Serving as a key liaison among staff, students, instructors, and external stakeholders, the role ensures seamless coordination of programs and activities while maintaining a high standard of service and professionalism.
The candidate will be responsible for:
- Assisting with implementation of goals and objectives to achieve the successful outcome of departmental programming
- Supporting the education department as instructed by the Education Director to ensure procedural consistency with organizational policies?
- Overseeing the collection and maintenance of confidential data, records and schedules related to education classes, agency clients, education department staff, and community partner organization as needed
- Developing, maintaining and providing orientation materials to new staff members in the education department, as well as interns, work study students, or other interim staff
- Attending and/or convening meetings with internal agency staff members as directed to facilitate interdepartmental collaboration
- Developing and maintaining multiple departmental calendars; processing check requisitions, biweekly timesheets and purchasing orders as needed; and ordering administrative and instructional supplies
- Providing administrative support to the education department by taking notes during meetings; scheduling meetings; and assisting with teachers’ supervision?
- Assisting with the collection of credentials and other required material as needed
- Supporting the administrative business function of the department
- Performing quality work within deadlines, with or without direct supervision
- Supporting the department by performing all other duties assigned by the Education Director?
The candidate should have the following:
- Associate’s degree. Bachelor’s Degree preferred
- 1-3 years of experience in an office setting; experience in the non-profit sector or educational institutions preferred
- Proficiency in MS Office
- Subject matter expertise/experience in specific content areas
- Bilingual in Spanish preferred
- Excellent interpersonal communication skills, work well with others, and possess patience, diplomacy, and tolerance; ability to relate with diverse personalities
- Skilled at working with technology and databases, with an emphasis on timely and accurate completion
- Ability to manipulate and manage data, reports and documents
- Ability to set and manage priorities in a busy environment
- Strong verbal presentation and written skills, exemplary attention to detail
- Ability to organize and prioritize workload and duties, manage time effectively, exercise judgment, and identify solutions to problems
- Positive values of integrity, accountability, reliability, and teamwork required
- Proficient in the use of computers and various applications
- Strong attention to detail, good organization skills
