About the Job
Our client is in search of a full-time, exempt Executive Assistant. The Executive Assistant is an integral part of their team, playing a pivotal role in ensuring that the President stays on course, preventing any oversights. Reporting directly to the President, this position provides exceptional administrative and project management support.
Primary responsibilities include overseeing the President's strategic activities — ensuring allocated time for Corporate and Business Development — proofreading documents, managing personal social media accounts, and maintaining calendars, emails, and follow-ups. The role involves check-ins with the President’s business development team and taking proactive steps with stalled projects. The Executive Assistant will also be responsible for travel arrangements and logistics, as well as other administrative tasks.
This position requires an individual with a positive can-do attitude who is extremely detail-oriented, systems driven, highly organized, dependable, focused, enthusiastic, task oriented, and can adjust to shifting priorities in this fast-paced office. The ideal candidate will have strong project management capabilities and will excel in communication and interpersonal skills, working collaboratively with other admin to fulfill their administrative needs. - Ability to effectively work from home to perform most job duties; required to meet with the President in Downtown Los Angeles three times a week.
PRIMARY RESPONSIBILITIES
- Provide wide range of administrative and executive support to the President.
- Organization and management of President calendar to coordinate professional and personal scheduling of emails, phone calls, client management, contacts, and other company logistics.
- Coordinate internal/external meetings including, but not limited to taking notes, preparation of meeting materials, etc.
- Monitor and review emails including relay requests for documentation to the appropriate employee, cleaning out spam, notification of action items, and to-do’s.
- Manage travel arrangements (meetings, conferences, outside events, personal vacations, etc.) including accommodations, transportation, and meals.
- Provide daily briefings to the President.
- Maintain professionalism, high degree of discretion, and strict confidentiality with all materials.
- Serve as the liaison to manage communication with employees and clients.
- Take the initiative to pull activities from the President when extremely busy, while keeping track of all ongoing projects.
