Position Overview:
FedSync is seeking an experienced Administrative Professional to support the Department of Transportation (DOT) and the Federal Motor Carrier Safety Administration (FMCSA) personnel security programs. This role requires a proactive individual capable of managing diverse administrative tasks and ensuring seamless support for security-related operations.
Key Responsibilities:
- Assisting in the majority of aspects of tracking all required fingerprints and related security/suitability documents for staff. This area of responsibility includes working with new employees in completing all required NACI and security background documents, verifying information is complete and accurate, transmission of data electronically and by mail to the Office of Security for adjudication and tracking status and follow on actions.
- Complete any reports required of the program and to pull data as needed in support of reporting requirements.
- Assisting with the review and input of all credentialing documents. This shall require scanning documents, updating information as it becomes available, tracking and follow up on work in progress, assisting with data extraction, maintaining, and filing required documents, and working with the program manager as required.
- Shall monitor work to ensure that no back log develops and provide assistance to all Human Resource Specialists.
- Shall draft official agency correspondence.
- Shall maintain Tickler Files for reminding personnel staff of upcoming deadlines.
- Attend appropriate Agency meetings. Generate and prepare reports by extracting and analyzing data to meet reporting requirements.
- Review, process, and manage credentialing documents, including scanning, updating, tracking, and maintaining accurate records.
- Monitor workflow processes to prevent backlogs and provide support to Human Resource Specialists as needed.
- Draft official correspondence for the agency and maintain suspense files to track deadlines.
- Participate in agency meetings, offering insights and contributing to discussions.
Qualifications:
Education:
High School Diploma or equivalent.
Experience & Skills:
- U.S. Citizenship is required.
- Minimum of 3 years of experience in federal and/or government contracting, particularly in personnel security investigations, applicant tracking, and clearance reviews.
- Strong proficiency in SharePoint, including catalog creation and database management.
- Advanced skills in Microsoft Excel, with the ability to create and manage complex spreadsheets.
- Exceptional multitasking abilities in a high-volume environment, with excellent telephone and written communication skills.
- Strong analytical skills, with experience in developing and managing tracking systems.
- Expertise in customer service, quality assurance, and performance monitoring.
Additional Qualifications:
- Proficiency in Windows-based applications, including SharePoint, Microsoft Outlook, Excel, and Word.
- Strong interpersonal skills, with the ability to collaborate effectively in a team setting and work independently when required.
- Demonstrated ability to meet deadlines and develop efficient workflow systems.
