Donor Relations Specialist – Event Focus - Anaheim Admin

Planned Parenthood of Orange and San Bernardino Counties has a full-time opportunity for a Donor Relations Specialist – Event Focus in Anaheim, CA.

The Donor Relations Specialist is responsiblefor supporting all fundraising and development activities within the Development Department, including event planning, database management, donor relations, giftprocessing, and other administrative and project-based work.
 

This Specialist provides high-level administrative and logistical support to ensure the successful production of in-person experiences that support the goals and objectives of the Development Department. Events may include, but are not limited to, fundraising, cultivation, engagement, and donor recognition activities. The Specialist will also provide support to all Development’s activities.

Specialist will be responsible for key facets of event planning and execution, encompassing event marketing and communications, budgeting, contract management, guest registration management, vendor relationships, utilization of event technologies and platforms, logistics (including food and beverage, space planning, transport scheduling, room design, A/V, and lighting), program and content development, staffing assignments, on-site execution (including set-up and tear-down), and post-event evaluation and follow-up.

Must demonstrate the ability to work in a fast-paced environment and possess high levels of customer service and professionalism, particularly in stressful situations. Must be available for evening/weekend hours and able to travel, as needed.

This position requires strong time-management and multi-tasking skills for completing various overlapping tasks to meet critical deadlines for multiple, complex events. Diplomacy is critical to this position, as it requires communication and interfacing with supporters and partners at all levels.

JOB DUTIES AND RESPONSIBILITIES:

Essential Functions: Essential functions encompass the required tasks, duties, and responsibilities performed as part of the job and the reason the job exists.

Development:

• Plan, promote, organize, solicit, and execute all logistics for department’s events, including luncheons, galas, house parties, and community presence opportunities in Orange and San Bernardino County, and other areas as strategized annually.
  • House Parties take place on location at a donor’s home or business for 20-75 people in the daytime or evening, occur approximately four times annually.
  • Luncheons take place on location at venue for 100-900 people in the daytime, occurs approximately three times annually.
  • Galas take place on location at venue for 100-300 people evening, occurs approximately one time annually.
  • Other event opportunities occur of carrying size, time, and location as decided
• Work daily with excellent organization, written/verbal communication skills with supporters and volunteers, and vendors, and internal team members.
• Exhibit confidence, experience, and logistical knowledge working with vendors and venues.
• Must capture and implement details for concurrent projects in a dynamic environment.
• Effectively support and present ideas and concepts either written or by presentation to convey the plans, goals and updates.

• Support the VP and Director of Development in event committee management.
• Create and implement a comprehensive planning and production schedule for events including identification of goals and objectives, development and implementation of event budget, marketing plan, production timeline, program storyboarding, space design, and menu ordering and design.
• Work closely with the various departments to guarantee appropriate responsiveness and follow-through for all events.
• Assist the team with special projects as requested.
• Plan and supportall department’s specialevents,includingaudiencetargetingofappeals,includinginvitationmailings,ticketandsponsorshiptracking,on-siteregistration,andacknowledgment
• Provide support and assistance in planning, developing, producing, and delivering supporting communication and campaign materials and methods
• Provide donor-focused customer service to supporters, including solicitation, relationship building relationship, troubleshooting/providing solutions, and being a development ambassador.
• Support fundraising activities with follow-up donor calls and communication.
• Responsiblefor administrative duties, including purchase orders, billing, answering calls, voicemail, and development email
• Plan,organize,schedule,andhelp support all meetings and conference calls for the Development department, which also includes ensuring reservations, venue/location, and technical aspects are completed.
• Assistwith the preparation of presentations, reports, and correspondence for the Development
• Accurateandtimelyinputofdonorinformation and gift processing.
• Tracking revenue and reconciling revenue with Finance department.
• Perform, maintain, and communicatedonorandprospectresearch,including database query and lists, assessmentofconstituent’sphilanthropiccapacities,identifyingtopprospects, and determining the depth of their engagement with the organization and other research that will inform a campaign

  • other fundraising technology, platforms, and equipment (including EveryAction, Monday.com).
