About the Job
The Document Management System Specialist will be responsible for the overall support and administration of Rice's Enterprise Document Management (EDM) System. This would include design, development (data loads, integrations, workflows, etc.), testing, support, and enhancements. This position is responsible for functioning as the EDM technical SME and therefore requires EDM experience, workflow skills, and developer skills, preferably in the OnBase product, which is Rice's current EDM. In addition, this position will be collaborating with vendors, technical staff, and end-users to support and enhance the use of the EDM. Flexible Work Schedule is available.
Essential Functions
- Assesses user needs and requirements
- Designs and develops applications that may involve sophisticated data manipulation
- Works with a variety of users to gain information, and develop intra-system tradeoffs between different users, as necessary; interacts with a diverse client base and outside vendor contacts
- Maintains and updates existing programs
- Troubleshoots and solves technical problems
- Creates programs to meet reporting and analysis needs
- Designs and implements user and operations training programs
- Provides production system support and issue resolution
- Documents changes in software for end-users
- Follows team software development methodology
- Serves as technical resource with respect to applications
- Performs all other duties as assigned
Experience and Education Requirements
- Bachelor's Degree in Computer Science or related field
- 2 years of related experience in Onbase EDM, Sharepoint, or equivalent

Skills Required
- Must be able to deal with stressful situations and respond to critical issues with clear and appropriate actions
- Understand ITIL methodologies (help desk tickets, change controls, etc.)
- Proven track record of providing EDM support
- Excellent verbal and written English communication skills. Ability to communicate technical concepts both verbally and in writing while able to work with functional user needs.
Preferences
- Experience
- Strongly prefer experience with OnBase or another enterprise EDM such as SharePoint which would include workflow management, e-forms, document import/export functionality, imaging, batch OCR, scanning, and APIs.
- Experience with Linux and Windows operating systems
- Experience with SQL / Oracle database
- Skills
- Build, document, and maintain standards, best practices, and document management procedures
- Identify and classify documents and electronic content according to characteristics such as security level, function, and metadata
- Oversee the development of content classification taxonomies to facilitate information capture, search, and retrieval
- Prepare support documentation and training materials for document management systems
- Oversee and provide governance and day-to-day operations of document management systems to adhere to standards
- Assist in determining document management policies to facilitate efficient, legal, and secure access to electronic content
- Administer patches, fixes, and updates to keep system up-to-date
- Administer data loads and integrations
