General Summary: Primary duties will be to manage quality documents while also ensuring their accuracy, quality, and integrity. Adhere to records retention policies, safeguard information, and retrieve data more effectively. Also will review, catalogue and distribute all project drawings, shop drawings and other project documents as required by the Project Manager, Area Manager and/or Quality Manager. Maintain log of current and historical versions of baseline documents in files. Develop and maintain controlled distribution list for each baseline document. Issue baseline documents and revisions via controlled copy and maintain file to track each document path.
Principle Duties and Responsibilities:
Document Control
Administrator over the JB Henderson EDMS (Procore), setting up Procore for the TLW project , and other projects as needed, giving permissions to users as appropriate, and setting vendors usage as required. Store, manage, and track company, area, and project quality documents. Facilitate review, approval, and controlled distributions of quality documents in accordance with established procedures. Maintain quality related training plans. Develops and/or coordinates the development of the activity-specific work instructions for special processes in accordance with applicable codes, standards and specification requirements as well as acceptance criteria for the affected items. Coordinate the activities of Document Control, including distribution and auditing controlled documents, maintenance of electronic department directories, tracking and reporting on document review progress. Manages archival activities for controlled documents and validation files. Work with subject matter experts on technical subjects in a positive, collaborative manner to prepare controlled documents which conform to defined format. Review and proofread documents for consistency of document format and system concerns. Use department databases to track, manage and control issued documents. Assign lot numbers, and various other document tracking numbers. Perform audits of company areas and processes to confirm compliance with controlled procedures. Participate in the revision of Quality procedures as assigned.
Training
Responsible for maintaining quality training plans; updating when new procedures or revisions are authorized for use, assigning training plans to personnel, communicating training program requirements to personnel, managing and maintaining personnel quality training records. Developing project-specific training programs when necessary.
Developing and maintaining quality training materials. Distributing and collective post-training effectiveness surveys
Lean/Continuous Improvement
Actively engages in company’s lean and continuous improvement efforts. To include involvement in standardized lean/continuous improvement programs and initiatives. Identify wastes and look for solutions to resolve or eliminate the waste.
Job Specifications:
Education and Experience:
Minimum 3 years of construction experience
Previous document control experience preferred
High school diploma
Knowledge, Skills & Abilities:
Prioritize, manage time well, multitask and troubleshoot
Advanced organizational skills with the ability to handle multiple assignments and competing priorities
Reporting and documentation ability
Ability to read and interpret applicable quality standards, project specifications, building codes and regulations
