WSP is currently initiating a search for a Document Control Specialistfor our New York City office.
Your Impact
Duties and Responsibilities:
- Influence the narrative by understanding what needs to be done. Support the Project vision and initiatives
- Implement efficient work-flow process, monitor daily activity, implement modifications
- Work within the existing “Electronic Document Management System (EDMS) QA/QC Plan
- Maintain documentation in SharePoint or similar EDMS.
- Work with Document Control Manager and Document Control team to ensure policies and procedures are being followed.
- Knowledge of document management process and procedures and systems
- Provide Document Management support to entire project team:
- Retrieve files Upload / Download files from EDMS, Manage Document Naming Convention, numbering, assigning, distribution.
- Process Incoming/Outgoing documentation
- Initiate and track document reviews
- Ensure that electronic record files as required are maintained in good order to comply with QA and contractual requirements
- Familiar with the Submittal and RFI Packages Procedure and Processes
- Perform reoccurring training on Document Management Requirements and EDMS use
- Optimize Document Controlproductivity, efficiency, and service quality across all departments
- Work with projectdepartment leads to ensure timely processing of documentation
- Conduct Internal Quality Audits of Document Management System
Who You Are
Minimum Qualifications:
- Bachelor's Degree or equivalent experience
- 5-7 years of project experience,Major Capital Improvement Programs and Large Projects
- Proven track record of upholding workplace safety and ability to abide by WSP’s health, safety and drug/alcohol and harassment policies.
- Exercise responsible and ethical decision-making regarding company funds, resources and conduct and adhere to WSP’s Code of Conduct and related policies and procedures
- Proven track record of upholding workplace safety and ability to abide by WSP’s health, safety and drug/alcohol and harassment policies
- Experience working on Design, Pre-Construction, Construction and Closeout or similar projects in andocument control role
- Working knowledge of Unifier, Asite, Aconex, e-Builder, Procore or SharePoint
- Advanced computer and word processing skills using MS Office applications
- Ability to coordinate several high-priority deadlines simultaneously and demonstrate flexibility when priorities change
- Excellent organizational & prioritizing skills with the ability to multitask
- Exhibit an extremely high level of professionalism and superior attention to details
- Ability to interface and interact with Management and Client Representatives at all levels
- Exceptional client relations and customer service skills
- Able to demonstrate sense of initiative and ownership
- Aptitude to exercise foresight as well as good business judgment to anticipate and solve problems with minimal oversight
- Energetic, self-motivated and quick to learn with a focus on continuous improvement
- Ability to work in a team or independently in a multi-disciplinary team environment
- Maintain confidentiality at all times
- Excellent written and verbal communication skills
- Champion best practice for document & records management across the projects
- Technical knowledge of industry documents, records and data management systems
- Team player with excellent communication and presentation skills
- Experience with typical Microsoft office applications, (Word, Power Point, Excel and Visio), Adobe Acrobat, Bluebeam and Projectwsie

Expected Salary: $91,500-132,980
