About the Job
The Document Control Lead is an on-site position with a specialty chemical client in the Charlotte, NC area. The Document Control Lead will create, design, and maintain the architecture for document processes and procedures and enforce the proper chain of action and document identification. The Document Control Lead will also verify project documentation meets standards set out in document control processes and procedures. The Document Control Lead will archive and maintain a secure storage space for these documents.
Document Control Lead Job Duties
• Establish, update and control procedures for all incoming and outgoing project documents and process accordingly
• Create and manage document hierarchy and process systems
• Take charge of all document identification, classification, and filing
• Frequently conduct document audits confirming they are current and accurately reflect recorded evidence
• Ensure revised documents are accessible
• Assist with communication during audits
• Conform to company enforced specifications and document control procedures
• Train others in the capital project-controlled document processes to ensure correct handling of documents
• Oversee document through its entire lifecycle (inception to archival)
• Check and edit incoming documents and prepare for distribution in an accurate and timely manner
• Create document filing and organizing systems that are both effective and efficient
• Ensure proper organization and security of documents (paper and electronic)
• Log document requests and help retrieve documents as needed for employees
• Make available, notify and distribute documents to support project development
• Confirm delivery of documents to proper personnel
• Issue documents, current revisions, and modifications to subcontractors. Handle all document issues from subcontractors.
• Provide guidance to project personnel for the proper retention of project documents
• Maintain strict client confidentiality
• Collaborate and communicate with managers and project leaders
• Setup project Teams site for project document management as necessary.
• Integrate Adept and Aconex document systems with the project Teams site(s).
• Lead or Assist developing Document Control procedures and processes.
Qualifications:
Document Control Lead Qualifications
• Bachelor’s degree in business administration, business management or related field
• 10 or more years of document control experience in a petrochemical or similar industrial environment
• Minimum of 5 years working as document control lead with progressive demonstration of experience on executing capital projects.
• Extensive in-depth knowledge of technical deliverables such as P&ID’s, mechanical, civil/structural/architectural, electrical, instrumentation and controls designs and drawings
Document Control Lead Skills
• Working knowledge of engineering design tools
• Excellent written and verbal communication skills. Ability to communicate with senior level leadership within an organization.
• Effective at working with other staff members and plant personnel in a fast-paced environment.
• Works effectively within a project stage-gate system environment including essential success factors for early phase and execution projects
• Proven skill for creating and implementing controlled document processes
• Proficient in SharePoint, Aconex, Adept and/or other document management software and web-based tools
• Skilled user of Adobe and Microsoft Suite
• Expert data organizer
