Division Coordinator - American Society of Civil Engineers (ASCE)

About the Job
The American Society of Civil Engineers (ASCE), the oldest national civil engineering society in America, is currently seeking a motivated and creative administrative and logistical support professional to provide operational, administrative, and clerical support to the division and management leaders.
Responsibilities include:
- Providing general support to the division
- Scheduling and organizing in-person and virtual meetings
- Compiling, filing, and sharing meeting records, and action items
- Conducting research, preparing visual aids, and designing meeting engagement activities
- Coordinating annual and monthly reports, and assisting with annual budget process
- Pulling data for analysis and reporting
- Updating web content using Sitecore, Drupal, and WordPress and working with stakeholders on optimizing accessibility and reach
- Monitoring participation and functionality with ASCE Speakers Bureau, and coordinating its promotion
- Preparing and processing reimbursements and invoices
- Maintaining rosters and updating database information
- Tracking committee applications and appointments
- Responding to varied queries and collaborating on responses and resolutions
- Creating forms in WooFoo and submission links in Cerbus
- Composing, proofing, and sending routine correspondence
Ideal candidate will have:
- 2 years of college or equivalent specialized training (administrative support and logistics coordination, business school)
- 2-4 years of experience in an association or service industry
- Previous experience working with components, boards, and/or committees is a plus
- Advanced proficiency in MS Office and AMS/CRM platforms
- Demonstrated success organizing diverse remote teams and operations
- Ability to multi-task and work independently in a fast-paced environment
- Willingness to work occasional weekends and travel
