ABOUT ACHIEVERS:
Achievers Early College Prep Charter School (AECP) is New Jersey's first public charter school for students in middle school and high school that provides them with the unique opportunity to pursue one of four STEAM pathways (Health Sciences, Digital Media, Audio Engineering and Cisco Computer Networking). Students can have access to a program that allows them to earn up to 60 college credits, NOCTI credentials and workplace training. AECP is determined to ensure that students can enhance their journey through high school and graduate with content mastery, skills, and experiences that are essential to the current marketplace and the world beyond.
JOB DESCRIPTION:
The District Operations Manager is responsible for providing management, leadership, direction and administration of all aspects of daily operations of Achievers Early College Prep Charter School, as defined by the Director of Operations. Furthermore, the position works in collaboration with other administrative team members. This role is supervised by the Director of Operations & Assistant School Business Administrator. The District Operations Manager is responsible for assisting the direct supervisor with managing the operations team district wide, which consist of all non-instructional staff members, and ensuring that students, families, and staff have the information and resources they need to succeed. They will ensure an efficient and robust operational experience at all times and serve as a liaison to the direct supervisor while disbursing key communications to stakeholders. This includes performing administrative and supervisory work in the non-academic operations of the school, financial management, purchasing, event planning/ management, student transportation, food service program, technology oversight, student enrollment, office personnel, security staff, nursing staff and facilities management. He or she works to ensure the operational success of the organization. Furthermore, this position is responsible for assisting in ensuring compliance with all local, state, and federal regulations.
The District Operations Manager will:
- Report time: 7:25am-4:30pm mandatory (attend all morning and afternoon huddles. Make operations announcements as needed) *attend all evening meetings and events as assigned including Parent Teacher Conferences, Back to School Night, Report Card Night, special events, and all others as assigned by the direct supervisor.
- You'll serve as the primary contact for all of the school's constituents in person, over the phone, and via email.
- You'll communicate effectively with students, teachers, families, trustees, donors, and visitors to ensure a welcoming operational environment.
- You'll oversee on-site components of the school financial system such as purchase orders, payroll records, grant reports, and financial forms.
- You'll support school events and activities as needed (making photocopies, setting up/breaking down for special events, parent teacher conferences, coordinating field trips & site visits, making phone calls to confirm attendance, etc).
- You'll maintain school-wide information systems for enrollment, including students' and personnel information (receive forms and paperwork, track missing forms, manage databases, update contact information, keep records current, etc.).
- Oversee the student enrollment process including recruitment, applications, lottery and post lottery tasks.
- You'll be the primary manager of daily student systems (manage student attendance and enrichment rosters, track school meal compliance, manage the homework center, etc.)
- Oversee the school inventory system including school supplies, teacher work room snacks, and ordering meals for professional development seminars.
- You'll plan and support logistics and preparations for school events and activities as needed.
- Oversee & manage orders as they arrive and ensure that they are stored away properly.
- Manage student bus transportation with Trenton board of education for daily school schedule, early dismissal and for field trips/special events.
- Maintain a tidy and professional office environment at all times.
- Oversee, support and perform all assigned duties for arrival and dismissal of students daily.
- Active leader of the school safety team.
- Oversee the school breakfast/lunch/snack program which includes preparing monthly meal calendars, submitting monthly reimbursements to the business office, ensuring all students have meals daily, distributing & collecting lunch applications to all students, collecting & entering lunch money, communicating with families, manage the lunch staff and ensuring that they are properly trained annually. Maintaining their schedules and coverage.
- Oversee the management of the office staff and ensure that all office duties are performed effectively in a tidy office setting. Maintaining their schedules and coverage.
- Oversee the school nurse with maintaining accurate medical records. Manage their day to day attendance and troubleshoot immediate concerns.
- Oversee the Data Infrastructure as the school grows: Deanslist, Remind App, Schoolmint, PowerSchool & other products
- Oversee the timely submission of school reports in NJSMART, NJ Homeroom, and to the County Superintendent's Office.
- Report to Operations meetings and all other meetings as assigned both in person & virtually. Take lead on your assigned areas.
- Report all lates/tardies/absences to your direct supervisor in a timely manner determined by supervisor.
- Active member of the HR & leadership team.
- Perform other responsibilities as assigned.
Works in collaboration with direct supervisor to ensure the:
- Management of daily operations district wide, which includes ensuring appropriate resource allocation.
- Coordinate and supervise daily work activities, preparation and prioritization of team assignments and special projects.
- Coordinate and schedule events pre-existing and forthcoming.
- Provides constant review of all operational processes and provides recommended
changes and solutions. - Reviews & assist in the implementation of systems & routines, including safety drills, inspections state & local, arrival/dismissal, food program, & all operational tasks as assigned.
- Meets with direct supervisor to provide updates routinely & as needed.
- Communicate effectively & routinely with direct supervisor.
- Work closely with the Executive Director and the leadership team to ensure efficient operational oversight is in alignment.
- Attends leadership meetings as directed.
- Reports to off site meetings such as: school visits, City Hall, etc.
- Perform other responsibilities as assigned.
Works in collaboration with the HR Specialist to ensure
- Positions are posted on all platforms including: Schools website, Indeed, Greenhouse, LinkedIn , social media etc
- Ensures accurate HR practices are followed from onset to completion.
- Follow up with the HR coordinator on selected candidates in a timely manner to confirm placement.
- Manages school leader relationships and collaborates with Principals and overall Leadership Team for instructional hiring.
- Ensures the HR coordinator maintains accurate data in all of our recruitment systems.
- Provides support for additional Recruitment special project(s) and/or coverage as needed.
- Ensures the HR coordinator manages a successful interview process both virtually & in person, Onboarding and Off-boarding, PTO, Certification and Payroll Submissions efficiently.
- Process employees' queries and respond in a timely manner
Manages the Operations team including office staff, maintenance, technology, school nurse, data specialist, HR specialist, food service & security:
- Ensure daily attendance of the team and performance is proactive and aligned to the job expectations.
- Provide feedback and support in all areas.
- Meet routinely with the entire team and report back to the direct supervisor.
- Maintain positive relationships with all contractors.
- Oversee all operational departments including: non-instructional staff, food service, technology, safety procedures, parent coordinator, meal service aides, crossing guards, maintenance, buildings/grounds/facilities, student attendance & enrollment, athletics, extracurricular activities/after school programs/clubs, nursing staff, security staff, office staff, enrollment, social media/website content, & HR coordinator.
- Take lead on ensuring safety drills & all other safety measures remain compliant.
- Ensure the buildings maintain all inspections including: fire, health, safety, electrical, plumbing, asbestos, and all other building inspections.
- Maintain accurate records of all data.
- Respond to email correspondence in a timely manner.

Experience Requirements
- Bachelor's degree preferred
12 month position - Required to work from School Daily: Hours 7:25am - 4:30pm
- 2 years experience working in a leadership/management role within a high-performing organization OR in K-12 schools
- Experience managing a complex enterprise's human resources, finances, operations, or strategies.
- Proven ability to manage budgets in a similar role.
- Proficient operational and financial acumen.
- Strong ethical leadership abilities.
- Excellent written and verbal communication skills.
- Strong people skills.
- Outstanding organizational skills.
- Ability to make projections three years into the future.
- 2 - 4 years of total experience required.
Physical Requirements

COMPENSATION:
- Achievers offers a competitive salary commensurate with experience and a comprehensive benefits package. This is a 12-month position which is exempt and therefore not eligible for overtime pay under the provisions of the Fair Labor Standards. Achievers is an equal-opportunity employer.
