DISPATCHER (SERVICE COORDINATOR)
JOB SUMMARY
Provide administrative coordination for the branch office service & repair department by performing a variety of administrative tasks.
ESSENTIAL DUTIES
- Assist mechanics with issues encountered with service tickets and ensure they are properly resolved for time entry and payroll.
- Assist mechanics with other administrative tasks, including safety.
- Perform various administrative tasks to ensure the smooth operation of service and repair.
- Work with Sales and Repair personnel to update schedules and organize billing.
- Review each contract to highlight important information.
- Monitor time off requests for service union employees.
- Track service orders and parts in all stages by maintaining detailed spreadsheets.
- Assist with updating service routes in system as needed.
- Complete service contract forms for sales as needed.
- Issue purchase order and order service parts, which includes coordinating returns, searching for parts, contacting vendors for price quotes, and tracking orders that have been processed.
- Coordinate cash application for service invoices and assist with collections.
- Maintain contact with customers, outside vendors, and corporate headquarters.
- Conduct research, compile, and generate reports.
- Maintain service contract filing to include electronic filing as needed.
- Request new or update existing certificates of insurance for customers as needed.
- Serve as backup for other administrative duties and dispatch as needed.

JOB QUALIFICATIONS AND REQUIREMENTS
- Education: High School Diploma or equivalent
- Experience: Minimum 3 years in related

WORK ENVIRONMENT AND EXPECTATIONS
- Job duties are performed mainly within an established office environment under normal lighting and climate-controlled tolerances. The noise level in the work environment is usually low to moderate.

- Prolonged periods sitting at a desk and working on a computer.
