Job Duties/Description:
- Review and process service requests, dispatching a qualified technician with the necessary skills, documentation, parts, and information.
- Utilize strong organizational skills to facilitate effective communication with customers and technicians, ensuring the completion of service calls. Follow up with technicians and other departments when needed to ensure repairs are finalized and customer satisfaction is achieved.
- Schedule Planned Maintenance with customers.
- Record all relevant details in the service/invoicing software for each job, along with completing forms, billing, reports, logs, and records.
- Maintain accurate records and data related to departmental responsibilities.
- Collaborate with the Service Manager to keep the service department updated on unusual circumstances or the need for additional assistance in finalizing repairs.
- Ensure clarity in quoted repairs before dispatching a technician, including scope of work, time allocation, and equipment requirements.
- Monitor service technicians' Work-in-Progress (WIP) to ensure timely job completion and accurate customer invoicing.
- Manage vehicle maintenance documentation.
- Perform additional duties as assigned by the department manager.
Requirements:
- At least 2 years of experience in service coordination or service management.
- Familiarity with Salesforce or Service Titan
- Mechanical or technical background is a plus.
- Excellent communication skills, both written and verbal, with the ability to effectively communicate with management and customers (internal and external).
- Ability to prioritize and manage multiple projects simultaneously.
- Basic understanding of accounting processes.
- Team player with the ability to collaborate effectively.
- Self-motivated and able to work independently with minimal supervision.
- Willingness to work overtime when necessary.
- GED or High School diploma required.

- Schedule: 7:30am-4:00 pm
