Position Summary
The Dispatch Agent monitors daily delivery requirements and initiates/fields calls, instant alerts, and emails to/from Motor Carriers, client personnel, and field personnel to safely coordinate client deliveries. The Dispatch Agent keeps diligent records of interactions through approved mechanisms (such as DispatchTrack and SalesForce).
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Maintaining responsibility for communicating to all stakeholders in a manner that maximizes efficiency and ensures customer satisfaction and carrier compliance
- Answering in-bound calls from carriers and customers and assessing and responding to their needs
- Troubleshooting delivery issues alongside motor carrier teams to include locating customer homes, contacting customers, contacting carrier teams to request “go-backs,” and notifying customers of pending time frame or delivery issues
- Providing exceptional service to clients, customers and carriers always
- Following-up with customers to ensure satisfaction after exception-based solution
- Performing office clerical work, such as filing and organizing
- Working as a team player and contributing to the team accordingly
- Manage logistics services
- Performing other duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
- High School Diploma/GED or equivalent experience required
- Previous experience as a Dispatch Agent, Customer Service Representative, or Dispatcher is a plus
- Proficiency with Microsoft Office suite, including Excel
- Must be a self-starter with excellent interpersonal and communication skills with a talent for customer service
- Must be efficient with strong attention to detail
- Ability to prioritize tasks
- Must have strong skills in organization and planning; demonstrated ability to work independently and exercise sound judgment and problem solving
- Bi-lingual is a plus
