DEPARTMENT/PROJECT OVERVIEW
The Boys & Girls Clubs of Greater San Diego (BGCGSD or Clubs) CHANGES LIVES through quality programs and guidance in a safe, affordable, and fun environment. BGCGSD’s mission is to inspire and enable youth to achieve academic success, build good character and responsible citizenship and make healthy lifestyle choices. We have been providing a safe, fun and positive environment at our sites with trained and dedicated professional staff for over 80 years. Members are involved in age-appropriate activities based upon our three priority outcomes of Academic Success, Character Development and Healthy Lifestyles.
POSITION OVERVIEW
Reporting to the Vice President of Development, the incumbent is responsible for managing and supporting fundraising events for the BGCGSD. Duties include, but are not limited to, developing a strategic plan for event development, generating new business, effectively communicating with current and prospective donors and vendors, planning and managing events. Responsible for managing event expenses to budget projections and supporting and managing all event committees. Focus is on building external relationships and marketing the BGCGSD, as well as providing an exceptional level of customer service, to colleagues, board members, and external partners.
Leads development activities within the BGCGSD corporate communities to build relationships and secure financial and volunteer support in pursuit of the Clubs’ financial goals.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. EVENT MANAGEMENT
- Responsible for the management of one major (net $1 million+) and a minimum of two minor (net $100,000+) fundraising events.
- Partner with VP, Development in the event plans and budgets designed to achieve increased donations over previous years; accountable for monthly tracking and reporting on revenue and expenses for such.
- Solicit sponsorship for special events including auction items.
- Oversee and provide direction on all marketing and public awareness efforts for special events.
- Direct the management of auctions for special events; record keeping, data entry, item tracking, bid sheets, displays, and auction close-out.
- Ensure timely and accurate recording of event contributions and acknowledgements.
- Collaborates with VP, Development in the evaluation of effectiveness of events and conducts post-event wrap up and evaluation meetings.
- Lead a group of event committee volunteers to plan, implement, and secure revenue for all three (3) fundraising events. Provide support and training for the site supervisors/branch managers for fundraising events.
- Manager Day-of the event implementation.
- Work collaboratively with local committees and staff to recruit and train volunteers for special events.
- Provide support to donor stewardship events to include assisting in planning content, developing agendas, preparing scripts and securing speakers/entertainment.
- Coordinate logistical components of events including invitations, reservations, guest check-in, arrangement of food and refreshments.
- Arrange for the acquisition and distribution of donor appreciation gifts and awards.
- Primary liaison with the board of directors on annual Evening of Changing Lives.
2. CORPORATE PARTNERSHIPS
- Manages strategic corporate accounts. Identifies and enlists new funders through an entrepreneurial approach to prospect identification and cultivation.
- Develops detailed cultivation and solicitation strategies for each corporate prospect/donor within the context of a multi-year strategy targeted to achieve annual fundraising goals and to create mutually beneficial partnerships.
- Ensures effective strategies are utilized to increase income development opportunities with corporations and other organizations. Income opportunities include sponsorships, strategic alliances, endorsements, and special event participation.
- Responsible for managing all corporate partnership events for BGCGSD. Work with development staff to formulate and administer an aggressive development plan with goals, objectives, and a realistic timetable.
3. CULTIVATION AND STEWARDSHIP
- Responsible for cultivating and managing ongoing relationships with current and prospective donors. Providing ongoing and timely donor recognition and appreciation.
- Cultivate a caseload of 25-30 active individuals and/or corporate partners; execute strategies for solicitation of these prospects; develop and implement strategies for retention and continual engagement. Track ROI.
- Develop and maintain quality relationships to establish a large, committed volunteer base that support the BGCGSD.
- Participate in community activities which contribute to the acquisition and retention of individual donors and/or corporate partners.
- Directly solicits contributions; coordinate activities with the development colleagues to maximize potential gifts and ensure the “best ask”.
ADMINISTRATIVE TASKS
- Gift entry and acknowledgement.
- Coordinate logistical components of meetings including invitations, reservations, guest check-in and arrangement of food/refreshments.
- Represent the organization in the community as an active member of a service club or professional association.
- Ensure all current safety protocols are being adhered.
- Other duties as assigned.
Special Conditions of Employment:
- Successful completion of pre-employment background check and maintaining a drug-free work environment.
- Valid Driver’s license and verification of insurance.
- Occasional weekend and evenings in support of fundraising events, committee meetings, trainings, and activities.
- CPR & First Aid Certification.
QUALIFICATIONS
- Degree in nonprofit or event management, business development, marketing, sales, for a large nonprofit. (Required)
- Minimum of three (3) years of fundraising or special event experience for a large organization; or equivalent education and experience. (Required)
- Proven success in fundraising strategies related to campaign goals and strategic design, along with tactical implementation for campaigns. Knowledge of fundraising strategies for major and principal gifts. (Required)
- Oversight of third-party fundraising events. (Required)
- Strong leadership skills: ability to lead, train, monitor and provide direction to working groups; ability to oversee and advise on work performed by sub-contractors, volunteers, and consultants. (Required)
- Experience in high-level volunteer management. (Required)
- Strong written and verbal interpersonal communication skills to converse diplomatically and effectively with volunteers, donors, and staff; innate ability to work steadily and calmly in high pressure situations. (Required)
- Proven ability to work independently, to establish and revise priorities to meet shifting deadlines, and to prioritize and organize workload to meet multiple deadlines. (Required)
- Demonstrated experience marketing and coordinating events. Knowledge of catering, banquet, and event planning best practices. (Required)
- Strong project management skills and demonstrated problem solving skills. Strong analytical and critical thinking skills to identify problems and develop innovative solutions. (Required)
- Experience creating and managing budgets. (Required)
- Aptitude to assess situations to determine the importance, urgency and risks, and make clear decisions which are timely and in the best interests of the organization. (Required)
- Demonstrated experience using computers and relevant software applications, including database management, graphics, spreadsheets, calendaring, and word processing. Proficient in web-based research and using social media platforms for event marketing and solicitations. (Required)
- Experience using NXT/RE is a plus. (Preferred)
