Schedule: Salary Exempt Full Time
Salary: 85,000 - 90,000 annualized

SUMMARY
It is the responsibility of the Director of Purchasing to procure product and services, including Food & Beverage, Operating Supplies & Equipment, FF&E including supplies and Operations. Exercises buying responsibilities and judgments on the basis of the best value, considering quantity, quality, and service. Collaborate with all levels of managers in all departments. Creates inventory forms and lists the Birchstreet purchasing system and purchasing SOPs. Promotes and follows LJBTC, Inc.'s Signature Service standards and requirements ensuring a lasting impression of exemplary service resulting in supremely satisfied and loyal members and guests.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
General Supervision/Maintenance of Physical Space
- Responsible for directing and supervising other Purchasing Department employees.
- Prepares weekly schedule for purchasing department staff.
- Trains new employees in accordance with Purchasing Department training guidelines.
- Ensures storeroom areas are kept clean, well-organized, secure to prevent pilferage, and safe to minimize damage and spoilage.
Responsibilities Include, but not limited to:
- Assists dept leaders with negotiating contract pricing, terms, and agreements for operating supplies
- Discuss quality factors with Chef, restaurant manager, Food and Beverage Director to determine value, taking corrective action when necessary
- Tracks orders to ensure timely delivery
- Reviews quality of purchased products and develops improved procurement procedures
- Maintains updated records of purchased products, delivery information, and invoices
- Prepares reports on purchases-cost analyses and inventory levels
- Monitors stock levels and places orders accordingly, focus on beverage inventory and food orders
- Acts as a key Liaison between Departments and Distributor
- Maintains records of all partial deliveries and backorders. Ensure that proper notations are made concerning short shipped items (i.e. credit advice).
- Provides information to departments (i.e., status of goods requested, etc.) to assist with their purchasing needs
- Registration and data collection of new vendors including W-9 form
- Source new vendors as needed
Recordkeeping
- Ensures that all documentation for goods received, issued and transferred is accurate and complete and is promptly passed on to the accounting department for processing.
- Maintains records of all receipts, issues and transfers.
- Conducts periodic inventory counts of all areas to reconcile and verify with records.
- Compiles records of items purchased or transferred between departments, prices, deliveries, and inventories. Computes total cost of items purchased.
- Other duties may be assigned
OUTCOME
The receiving, issuing and storing of goods in a clean and organized area helps the flow of goods to the outlet and accounts for all La Jolla Beach & Tennis Club products. Internal and external customer satisfaction is the goal.
SUPERVISORY RESPONSIBILITIES
Supervises employees in purchasing the department. Responsible for the overall direction, coordination, and evaluation of this unit. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and coaching employees; addressing complaints and resolving problems.
QUALIFICATION REQUIREMENTS

EDUCATION and/or EXPERIENCE
One-year certificate from college or technical school; or one or more years related experience and/or training; or equivalent combination of education and experience. Experience with Birchstreet purchasing system and Netsuite ERP preferred.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively in English to customers, vendors or employees of organization.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

WORKING CONDITIONS
ENVIRONMENT
While performing the duties of this job, the employee occasionally works near moving mechanical parts and in outside weather conditions.
The noise level in the work environment is usually moderate to loud.

SCHEDULING
This company operates seven days a week, 24 hours a day. Shifts will generally be rotated unless you were hired for a specific shift, as much as possible to be fair to everyone. At times it may be necessary to move you from your accustomed shift if business or task assignments demand. In addition, it should be understood that business needs determine the number of hours that you work.
