About the Job
POSITION SUMMARY:
+ Optimizes operations of all URMC Ob/Gyn locations in collaboration with ambulatory management, practice managers, physician leadership, the OB/GYN Ultrasound Supervisor, or designated supervisory staff at all locations.
+ In conjunction with practice leadership at each location, responsible for developing staffing plans, ensuring thorough staff orientation and onboarding, creating and reviewing patient schedules, performing equipment quality assurance checks, monitoring provider utilization and productivity, and ensuring compliance with all hospital and external regulatory requirements.
+ Works independently to analyze and initiate improvements to department workflows, procedures and protocols to enhance patient flow and patient satisfaction; mentors, directs and supervises department leaders in their roles; partners with providers and department leadership to optimize patient flow, ensure compliance with regulatory standards, and address administrative needs
+ Encourages growth and maximizes the potential of all staff with a positive and supportive attitude while promoting a work environment that is both diverse as well as inclusive.
+ Works collaboratively with department and program leadership to achieve department goals in accordance with the mission, vision, and goals of Strong Memorial Hospital. Monitors organization of staff duties, staff productivity, overview of daily schedules, and overall patient flow and satisfaction.
+ Models independent problem solving to enhance patient flow and productivity of the department.
+ Delegates duties and responsibilities to enhance overall department performance and productivity.
+ Participates annually in the capital budget process, provides feedback on equipment needs, and obtains necessary quotes and documentation.
+ Works collaboratively with physician, program and office leadership to maintain facility certification and site-specific certifications and accreditations.
+ Establishes and maintains good interpersonal communication with all patients, family members, and department staff.
+ Performs annual reviews and provides ongoing feedback for office leadership and participates in writing and delivering reviews.
+ Reviews and updates job descriptions as needed.
+ Attends hospital and department management meetings and executes expected duties.
+ Sets agenda and facilitates monthly Ob/Gyn Clinical Operations Committee. Attends individual office meetings across all Ob/Gyn. Provides pertinent information, goals and events, discussion of department goals, and reviews key performance dashboard metrics.
+ Runs key reports and submits operational data to program leadership as requested and within scope of role.
+ Researches all equipment & vendors, attends all equipment meetings & discussions with vendors.
+ Assists with, reviews, and processes (as appropriate) all ISD & Clinical Engineering requests.
+ Facilitates and assists with Quality Improvement initiatives and workflow improvements.
+ Promotes and maintains a safe environment for all patients, physicians, and staff.
+ Serves as an Epic SuperUser for physicians, clinical staff, sonographers, nurses, and registration staff in eRecord.
+ Responsible for charting monthly visit volume reports; sends data to department and facility leadership as directed or requested.
+ Participates in interviewing prospective candidates, clinical training, orientation, onboarding, and mentorship of new staff as appropriate.
+ Collaboratively supervises daily scheduling within Epic for all locations. Works proactively and collaboratively with department and/or site-specific leadership to address scheduling changes/revisions as needed.
+ Identifies, communicates, monitors, and ensures compliance with all applicable Joint Commission and Infection Prevention policies, procedures, and standards.
+ Ensures that equipment is maintained, in good working order, and compliant with inspection due dates. Provides updates to the Program Administrators and communicates with service providers as needed.
+ Works in conjunction with department leadership, and/or the site-specific leadership, to manage complaints/concerns from patients, physicians, and staff.
+ Maintains competence through ongoing education.
+ Works collaboratively with hospital and department leadership to establish policies and procedures that support patient and family centered care. Promotes the ICARE values by modeling behavioral competence.
+ Promotes a positive work environment which supports staff satisfaction.
+ Meets regularly with Chair, Chiefs, and Program Administrator and communicates opportunities/needs/concerns of the staff and department.
+ Resolves challenges with innovative solutions. Works collaboratively on system and process improvements to increase organizational and customer satisfaction and value.
+ Monitors all aspects of surgical scheduling, referral and prior authorization teams including but not limited to: communication with physicians, Perioperative staff, patients, insurance companies, and leadership.
+ Mentors and directly supervises performance of Practice Managers of General Ob/Gyn, Midwifery, Fertility, Perinatology,), Gyn. Oncology, Urogynecology and West Ridge Ob/Gyn.

**QUALIFICATIONS:**
+ Bachelor’s Degree required
+ Master’s Degree preferred
+ or equivalent combination of education and experience required
+ Strong organizational skills, attention to detail, strong communication skills required. Competence in using Microsoft programs such as Word, Excel, and PowerPoint required. Demonstrated ability to problem solve, collaborate, and multitask strongly preferred.
+ Leadership preferred
