We are seeking a dynamic, experienced Permanent Service Administrative Manager to join our thriving company. This role is a unique opportunity to manage the administrative functions of our service department and play a pivotal role in the smooth operation of our business. The ideal candidate will have a strong background in the commercial HVAC industry and a proven track record as a Construction Service Coordinator. If you are a detail-oriented professional with exceptional organizational skills and a passion for people and process management, we would love to hear from you.
Responsibilities:
As a Permanent Service Administrative Manager, you will be responsible for:
1. Overseeing the administrative functions of the service department, including scheduling, dispatching, and invoicing.
2. Managing all aspects of customer service, ensuring that all customer concerns and inquiries are addressed in a timely and professional manner.
3. Utilizing QuickBooks Desktop for financial management, including tracking expenses, invoicing, and generating financial reports.
4. Collaborating with field operations to ensure seamless communication and coordination between the office and field teams.
5. Developing and implementing strategies for improving customer service and enhancing operational efficiency.
6. Fostering a positive, inclusive, and productive work culture, and leading initiatives for people development.
7. Utilizing ServiceTitan software for job tracking, customer management, and dispatch (nice to have).
Qualifications:
To be considered for the position of Permanent Service Administrative Manager, candidates must have:
1. A minimum of 3 years of experience in a similar role, preferably within the construction industry.
2. Proven experience in the commercial HVAC industry is nice to have.
3. Prior experience as a Construction Service Coordinator or Office Manager.
4. Exceptional customer service skills, with a strong ability to resolve issues effectively and efficiently.
5. Proficiency in QuickBooks Desktop.
6. Experience with Field Operations and working with external customers.
7. Strong leadership skills, with a focus on fostering a positive work culture and developing people.
8. Excellent organizational and multitasking skills, with the ability to manage multiple priorities simultaneously.
9. Strong communication skills, both written and verbal.
10. Experience with ServiceTitan software is a plus, but not required.
