Who You Are:The Director of Events oversees all aspects of the Events Department, providing leadership, strategic planning, and operational execution to ensure the department's success. This role is responsible for client relationship management, event planning and execution, budget development, business development, and staff management. The Director will also play a key role in developing proposals, creating/securing contracts, and generating revenue streams for the company.
What You'll Do:Event Team: Client Management & Event Strategy
- Consult with clients to determine event objectives, requirements, and budgets.
- Coordinate event services including accommodations, audio/visual needs, catering, transportation, facilities, signage, security, and other logistical requirements.
- Monitor event activities to ensure compliance with regulations, customer satisfaction, and problem resolution.
- Lead contract negotiations and oversee proposal development for events and business leads.
- Manage event budgets, including preparation, tracking, and profitability analysis.
- Develop timelines and ensure the timely delivery of all event components.
- Create and implement marketing strategies for events, including client presentations and promotional plans.
Business Development
- Develop a long-term calendar of events and associated marketing plans.
- Build and maintain strong vendor relationships, leveraging them for organizational growth.
- Oversee client onboarding and offboarding processes, ensuring a seamless transition.
- Identify new revenue streams and execute initiatives to drive sales and profitability.
Department Strategy & Operations
- Streamline departmental workflows to improve efficiency.
- Establish and promote best practices across the department.
- Prepare and manage the department's annual budget, including expense oversight and profitability assessments.
- Implement annual rebate programs and profit-centric strategies.
- Ensure adherence to licensing, permitting, and industry standards.
Staff Performance & Leadership
- Hire, train, mentor, and evaluate the performance of department staff.
- Create a culture of accountability, collaboration, and professional growth.
- Develop and implement consistent training programs for team development.
- Oversee staff workload forecasting and allocation.
- Conduct regular performance reviews and address any performance issues promptly.
Required Knowledge & Skills:
- Strong knowledge of event planning logistics, including AV requirements, permits, licensing, union labor, and room setups.
- Proficiency in contract negotiation, particularly with hotels and other venues.
- Financial acumen in budget preparation, expense tracking, and profitability management.
- Ability to develop comprehensive timelines and track deliverables effectively.
- Skilled in writing and presenting proposals, contracts, and sponsorship plans.
- Understanding of industry laws, crisis management planning, and best practices.
- Leadership and management expertise to oversee a diverse team of professionals.
Qualifications:
- Bachelor’s degree in event management, business administration, hospitality, or a related field.
- 5-7 years of experience in event management, with at least 3 years in a leadership role.
- Excellent verbal and written communication skills.
- Proven ability to manage multiple priorities, meet deadlines, and achieve business goals.
- Demonstrated ability to build relationships with clients, vendors, and team members.
Additional Requirements:
- Willingness to travel for events as required.
- Flexible to work evenings or weekends based on event needs.
- Proficient in event management software and too
