Pay: $80,000 to $85,000/annually

About the Department
Cayuga Centers is committed to providing our staff the safest possible work environment. Under the supervision of the General Counsel, this position is responsible for assisting in the management of insurance policies, contracts, and the research and development of new Risk Management initiatives to benefit each Cayuga Centers' employee.
The Contracts Department will:
- Draft and review various contracts, ensuring accuracy, legal compliance, and alignment with organizational objectives.
- Conduct thorough risk assessments to identify potential liabilities and develop strategies to mitigate risks in contractual agreements.
- Manage and negotiate property management agreements, ensuring optimal terms and conditions for the organization.
- Oversee the administration of insurance policies, including property and liability insurance, to safeguard the organization against unforeseen events.
- Collaborate with legal and financial teams to assess and address contractual and insurance-related risks.
- Develop and implement policies and procedures for effective contract management, risk mitigation, and insurance coverage.
- Coordinate the procurement of vehicle insurance and manage claims related to vehicle accidents, ensuring timely resolution and cost-effectiveness.
- Stay updated on industry regulations and legal requirements to ensure compliance in all contractual and insurance matters.
- Maintain accurate records of contracts, insurance policies, and related documentation.
- Provide guidance and training to internal stakeholders on contract and insurance-related matters to enhance organizational awareness and compliance.
Essential Functions:
Property Management
- In conjunction with the Associate CEO, Assistant Vice President of Operations, Director of Operations, and others - ensure that satellite office operations are maintained at the highest quality.
- Assist with the acquisition of new office space.
- Assist with opening new office space.
- Serve as a primary point of contact to satellite office Hub Leadership to ensure their physical plant operations are met.
- Assisting with Auburn, NY office allocations and other tasks as assigned.
- Completing necessary purchase requisitions for cleaning service and other services.
Vehicle Accidents
Processes all vehicle accident reports and works with programs and insurance companies to process claims and facilitate repairs.
Insurance and Contract Management
- Work to obtain all necessary insurance certificates, including but not limited to: General Liability, Workers Compensation, and Disability.
- Responsible for proper maintenance, filing, and administration of all agency contracts both newly obtained and renewals.
- Responsible for maintenance of Operating Certificates
- Responsible for maintenance of and administration of property leases
- Responsible for the registration and compliance with all Government contract management systems.
- Notarize documents.
Schedule: Exempt
- Regular hours entail 9:00am - 5:00pm or 8:00am - 4:00pm, Monday - Friday, with flexibility.
- Must be flexible to meet program needs.
- Must be available to work afternoons, evenings, and weekends may be required

Required Experience:
- Bachelor’s Degree required.
- Master’s Degree or Three Years Experience with Contracts, Liability and Insurance Procedures Preferred
- Strong project management and planning skills.
- Ability to collect, organize, and relay critical information and produce reports.
- Excellent attention to detail, organization, and communication skills.
- Ability to handle confidential information in a responsible manner.
- Obtain NYS Notary - required.
- Ability to multitask while maintaining strong customer service.
- Valid NYS Driver’s License.
- Ability to travel to all agency locations as required.
