JOB SUMMARY AND QUALIFICATIONS:
The Director of Admissions and Outreach is responsible for overseeing all aspects of client intake, admissions processes, and community outreach efforts. This position plays a pivotal role in ensuring that individuals who need our services can access treatment in a seamless, compassionate, and efficient manner. The Director will help build partnerships with community organizations, health professionals, and other stakeholders to enhance awareness of our services and strengthen our presence in the community. The Director of Admissions and Outreach is responsible for generating and analyzing data driven reports related to admissions and outreach goals. The Director of Admissions and Outreach is responsible to driving the census in VOA Recovery with collaboration with community partners and internal programs.
WHAT YOU SHOULD HAVE FOR THIS ROLE:
This role is very goal driven with a sales focus with skills like inspiring genuine trust, building strong relationships, and continuing to consistently follow up. The position requires exceptional communication, customer service, and critical thinking skills. This position also requires skills in time management and experience with clinical services. Experience with computer programs including Microsoft Word, Excel and Outlook is required. The candidate must exhibit compassion toward people living with behavioral health and substance use issues, Hepatitis C and HIV/AIDS and the ability to convey respect to target populations and community partners. The candidate must have the background and aptitude to learn and apply Volunteers of America’s personnel and program policies and procedures.
RESPONSIBILITIES:
• Multi-tasks, prioritizes and meets deadlines in a fast-paced work environment.
• Maintains a consistent, positive and professional communication process. This includes but is not limited to: regularly communicating with outreach contacts, prospects, residents, staff members, and with department and other managers; including those relating to payment; attending meetings; and communicating relevant matters to the Sr. Director of Fund Development and the Addiction Recovery Services Admission and Outreach Teams.
• Work proactively and effectively with referral sources.
• Coordinate services with referral agencies to assist clients who have specific treatment needs not addressed by the VOA Mid-States.
• Track Census and update all staff daily in daily morning meetings
• Collaborate with communications department to manage census
• Persistently contact health care providers, community partners, consumers and other potential referral partners on behalf of Volunteers of America Mid-States.
• Persistently develop leads for potential new referral partners.
• Work closely with the program and agency leadership to monitor intake procedures and daily census within behavioral health programs.
• Collaborate effectively with referral sources and community partners.
• Participate in regular staff meetings with addiction recovery, communications, behavioral health services to identify current marketing needs.
• Oversee the daily operations of the admissions process, ensuring timely and accurate intake of clients seeking treatment.
• Manage a team of admissions coordinators and staff, providing training, support, and performance evaluations.
• Ensure compliance with all regulatory and organizational policies during the intake and admission process.
• Review and assess potential clients' eligibility for programs, based on assessment tools, screening, and available resources.
• Maintain accurate records of admissions, including intake forms, clinical assessments, and insurance verification.
• Collaborate with clinical and medical teams to ensure a smooth transition from admission to treatment services.
• Develop and execute a comprehensive outreach strategy to engage with individuals, families, and the community at large.
• Build and maintain relationships with local healthcare providers, schools, community organizations, and other referral sources.
• Increase awareness of the organization’s services through educational presentations, community events, and networking opportunities.
• Coordinate outreach efforts to underserved or high-need populations to expand access to treatment.
• Represent the organization at conferences, health fairs, and community meetings
• Track, analyze, and report on admissions data, outreach efforts, and community engagement outcomes.
• Provide weekly, monthly and quarterly reports to the VP of Clinical Systems and on key metrics.
