POSITION SUMMARY:
The Diabetes Technologies and Care Coordinator's (primary responsibility is to perform all administrative aspects of the Diabetes Technology program (Program) which includes Insulin Pumps and Continuous Glucose Monitoring (CGM) systems.
ESSENTIAL RESPONSIBILITIES / DUTIES:
- Day-to-day tasks focus on administrative duties such as managing pertinent paperwork related to assisting patients in the procurement of diabetes technology devices (insulin pumps and CGM) and related supplies.
- Facilitates and maintains appropriate communications including EHR documentation, online web portals, e-mail, fax, paging, and phone calls
- Facilitates, organizes, and participates in the implementation and quality assurance of the Program through such administrative processes as:
- Maintains program statistics according to protocol and database including assessment and data collection for quarterly reporting
- Oversees and documents evaluations/surveys/questionnaires
- Ensures that all paperwork has been received prior to any technology training, including by not limited to insulin pump orders, eye letters, and educator insulin pump assessments.
- Schedules all required patient individual or group appointments and training, verifying insurance data and ensuring authorizations for visits prior to patient arrival for services.
- Communicates schedule with physicians, fellows, educators, and other departments for coverage and coordination of services.
- Coordinates medical consultative services as needed
- Maintains classroom space, equipment, and all necessary technology supplies
- Coordinates the insulin pump program including scheduling patient assessments, training, and follow-ups. Primarily responsible for the coordination of all training and patient communication.
- Acts as liaison for patients, Industry partners (pharmaceutical and medical device companies), and third-party payers to ensure proper documentation and reimbursement for services.
- Coordinates and leads weekly/monthly appointments with industry partners
- Maintains current knowledge of new technologies, distribution sources, and insurance nuances and communicates to appropriate medical and education staff
- Assists education and clinic staff with the implementation of information when new diabetes technology is released - including scheduling of training and dissemination of newsletters.
- Maintains a sample documentation process and records all samples for the Program per Clinic sample policy.
- Maintains the CGM professional program with appropriate documentation and reconciles all patient supplies and charges for the Program. Responsible for ordering supplies for the Program through approved vendors and staying within budget.
- Arranges site visits for external parties (i.e. Industry Partners and professionals) and supervises volunteer staff in relation to specific projects.

JOB REQUIREMENTS
EDUCATION:
- Associate's degree in a related field or equivalent work experience; Bachelor's degree preferred.
EXPERIENCE:
- Minimum 2 years office experience; experience in program management and handling third-party payers preferred
KNOWLEDGE AND SKILLS:
- Proficient in Microsoft Office Suite
- Familiar with medical terminology
- Ability to handle confidential and sensitive information - knowledge of HIPAA
- Strong organizational and communication skills (communicate clearly and effectively via verbal and written instruction).
- Attention to detail and ability to concentrate on multiple tasks
- Ability to prioritize responsibilities - through completion.
- Ability to work independently and with others in the clinic - to interact respectfully with other employees, professional staff, patients, visitors, and/or external contacts. More sensitive situations may be referred to others as appropriate.
- Experience promoting/marketing programs to public preferred
- Requires analytical skills to gather and interpret data in situations in which the information or problems are relatively routine
- Requires the ability to exchange information on factual matters, explain Center policies and/or relay messages to appropriate persons
