Job Title: Development Coordinator
Job Summary:
The Development Coordinator assists in the planning, implementation, and management of fundraising campaigns, events, and donor stewardship programs. They work closely with the development team to help achieve the organization's financial goals by managing donor relationships, providing administrative support, and executing key initiatives to raise funds and awareness.
Key Responsibilities:
Fundraising Support:
- Assist with the development and execution of fundraising strategies and campaigns.
- Manage donor databases and ensure accurate records of donor information and contributions.
- Supports programs and activities to secure funding from individuals, corporations, foundations and government sources to include special events, annual and capital campaigns and specific program fundraising.
Event Planning and Execution:
- Organize and coordinate fundraising events, such as galas, auctions, or community outreach activities.
- Handle logistics for events, including venue selection, invitations, guest management, and supplies.
- Collaborate with vendors, sponsors, and volunteers for event success.
Donor Relations:
- Assist with donor stewardship efforts to maintain and build strong relationships with existing donors.
- Coordinates thank-you letters, recognition efforts, and other donor communication. Maintains the accuracy and integrity of the donor database system used (Bloomerang) by ensuring that all information is kept current and up to date.
- Track and report on donor engagement and retention metrics.
Administrative Support:
- Maintain accurate and up-to-date records of donations, pledges, and fundraising progress.
- Supports the Director of Development to Identify and conduct preliminary research on prospective individuals, foundation and corporate donors. Prepares briefing documents for Vita Nova leadership and development committee members.
- Assists with development, editing and publication of campaign marketing materials as well as identification and purchase of donor gifts.
- Assists with the production and coordinates the mailing of fundraising appeal letters.
- Assists Development Director with solicitation for sponsorship and underwriting opportunities related to fundraising events. Tracks compliance of sponsorship benefits offered to corporate as well as private donors.
- Assists with gift agreement documentation and recording/tracking process.
- Works with Director of Development and Board Development Chair to schedule development committee meetings.
- Handles administrative details associated with the Development Committee meetings (i.e., prepare and distribute materials, agendas, minutes, refreshments etc.).
- Supports the Development Director with all member and donor related events.
- Assists the Development Director with the creation and finalization of guest lists and seating charts based on donors' preferences.
- Assists Development Director with review of publications that include donor lists, photos and events conducted by the development team.
- Assist in preparing budgets for events or campaigns.
- Administer and assist managing CEO and Director of Development calendars.
Marketing and Outreach:
- Help promote fundraising events and campaigns via social media, email newsletters, and other channels. Assist with developing and curating engaging content for social media platforms (Facebook and Instagram)
- Assist in creating and distributing marketing materials to raise awareness about the organization's mission.
- Assist with collecting content (photos) from events to be used in monthly newsletter, website, social media and all marketing collateral.
Collaboration and Communication:
- Work closely with the development director and CEO to ensure cohesive messaging and branding.
Additional Responsibilities:
- Provide general administrative support to the Development team as needed.
- Assist with any other duties and projects as assigned by the supervisor or leadership.
Skills and Qualifications:
- Bachelor's degree in nonprofit management, communications, business, or related field.
- 1-2 years of experience in nonprofit development or a related field preferred.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with donor management software.
- Detail-oriented with strong organizational and multitasking abilities.
- Ability to work both independently and as part of a team.
- A passion for the organization's mission and a desire to contribute to its success.
Working Conditions:
- Typically works in a weekly office environment but may require occasional evening or weekend work for events and meetings.
- Occasional local travel may be required for site visits, events, or donor meetings.
This position is integral to an organization's fundraising and development efforts and plays a key role in building relationships with donors and ensuring the success of campaigns and events.
