The Administrative Coordinator will serve as a member of the Center for Student Leadership and Engagement (CSLE) professional staff team. This position will support the day-to-day operations of the department, assist student organizations who work with the office, and help with implementation of programmatic initiatives throughout the academic year.
About The Department:
The Center for Student Leadership and Engagement creates intentional learning opportunities for students to engage in campus life, develop leadership skills, and build inclusive communities throughout their Macalester experience. CSLE manages and supports New Student Orientation, Macalester College Student Government, student organizations, leadership programming, social and community-building programs, Forensics teams, campus food pantry and operation of the Campus Center.
This is a full-time (1.0 FTE), position that requires being onsite during the hours of 8:00am-4:30pm Monday through Friday.
Responsibilities:Department Support
- Supports day-to-day operations for the Center for Student Leadership and Engagement.
- Hires, trains, supervises, and evaluates a team of up to 10 student employees at the CSLE Desk.
- Accurately manages and reconciles student organization P-card program using Slate, Argos, and Involve for budget tracking.
- Provides administrative support to all CSLE staff including but not limited to completing: tasks or projects as needed including P-card reconciliation, forms processing, documenting processes, note taking, social media promotions, and other administrative functions.
- Maintains high proficiency in Google Suites (Docs, sheets, Forms, Chat, G-mail, Calendar), Involve Software, Microsoft Office, Wells Fargo Commercial, Student Timesheet, and Argos.
- Works with Executive Director in day-to-day management of departmental budget lines.
- Creates content and maintains up to date information for departmental websites.
- Processes daily deposits for the Campus Center Information Desk and ValuPort machine.
- Assists with facilitating travel processes and reservations for Forensics teas.
Student Organization Support:
- Provides administrative support to student organizations.
- Processes student organization event and contract request forms.
- Serves as day-to-day administrator for Involve, including creation of forms, pathways, training, videos, rosters, and portal management.
- Manages card access and key requests for student organizations and keeps up to date inventory of student organization space available on campus.
- Works with CSLE in day-to-day management of student organization budget approvals, requests, and expenditures.
- Oversees inventory of student organization capital purchases and items.
Program Support:
- Provides support to CSLE professional staff with implementation of departmental programs and events including Orientation Resource Fair, Senior Fair, Commencement Volunteers, etc.
- High School Diploma or GED required, Bachelor’s Degree preferred
- Exceptional secretarial and administrative skills. Basic understanding of college student development. Event planning experience. Experience in ordering catering, supplies, etc. Event registration management.
- Proficiency in Google Suite (Docs, Sheets, Forms, Chat, Gmail, Calendar), Involve Software, Microsoft Office, Slate, Wells Fargo Commercial, Student Timesheets, and Argos Budget Management.
- Ability to multitask without sacrificing accuracy and attention to detail. Ability to take initiative, work independently and perform job duties with minimal supervision. Maintain equipment inventories.
- Ability to trouble-shoot technical systems (AV, computer). Ability to manage multiple tasks of varying priority on a regular basis. Strong organizational skills.
- Ability to communicate professionally and effectively with staff, faculty, students, alumni, and campus visitors. Ability to build relationships and provide excellent customer service.
- Excellent oral and written communication skills. Strong note-taking abilities. Experience in editing websites and formal documents.
- Ability to hire, train and supervise employees.
Compensation:
The hourly wage for this position will be between $22.40-$23.42 hourly, depending on experience.
