Job Duties of Dental Assistant Office Manager:
Staff Management
- Hire, train, and supervise dental office staff, including receptionists and the remote insurance team.
- Hold team members accountable to published and clearly defined goals related to business growth and development plans.
Scheduling
- Oversee patient appointments and manage the dentist's schedule to optimize workflow.
Financial Management
- Handle billing, insurance claims, and payment processing; monitor accounts receivable and payable.
Patient Relations
- Ensure excellent customer service, address patient inquiries, and handle complaints effectively.
Compliance
- Ensure the office complies with health regulations, safety standards, and HIPAA guidelines.
Inventory Management
- Maintain inventory of dental supplies and equipment, placing orders as needed.
Record Keeping
- Oversee patient records and ensure they are accurately maintained and secure.
Marketing
- Develop and implement marketing strategies to attract new patients and retain existing ones.
Technology Management
- Manage dental software systems for scheduling, billing, and patient records.
Financial Reporting
- Prepare reports on financial performance and operational metrics for the dentist.
Communication Skills
- Demonstrate superior written, verbal, and other communication skills.
Talent Management
- Interview, hire, and retain top-tier talent as guided by Apex Dental.
- Train operations team members to perform duties in a timely and accurate manner while auditing work to confirm quality and provide additional training as needed.
Onboarding
- Seamlessly integrate all team members into the dynamic business environment while continuing to meet business needs.
Program Development
- Collaborate with dedicated corporate departments and executive team members to design sustainable and scalable programs.
Strategic Planning
- Identify operational areas of opportunity, create action plans, and execute strategies to grow and enhance the business.
Performance Analysis
- Thoroughly understand key performance indicators and benchmarks that affect business metrics, and course-correct when necessary.
Continuous Improvement
- Assess practice needs and strategically plan improvements.
- Stay up to date on industry trends, current events, and best practices.
Accountability
- Hold team members accountable for annual training requirements, performance reviews, and other company mandates.
Feedback
- Provide thoughtful, documented, timely, and constructive feedback to direct reports, focusing on solutions, continuous improvement, and positivity.
Knowledge and Qualifications
- 2 or more years of management experience is required.
- Dental office management experience is preferred.
- Must have the knowledge and ability to understand and apply financial management principles.
- Familiarity with Open Dental is preferred.
