Description
CyberEdge is currently recruiting a full-time Business Operations Manager reporting directly to CyberEdge's CEO. This person will be responsible for all back-office operations and ensure that all customer-facing engagements with CyberEdge contractors run smoothly. The following is a list of ongoing tasks by job function:
Customer & Contractor Satisfaction
- Ensure customers and contractors are satisfied with all customer-facing engagements.
- Attempt to resolve issues / roadblocks within customer engagements, as needed.
- Proactively check in with customers once per month regarding their satisfaction with ongoing projects, lead-generation campaigns, and weekly marketing retainers.
- Proactively gauge customer satisfaction and contractor satisfaction following the completion of all customer engagements.
- Ensure project-based contractors submit weekly status update emails every Friday. Ensure retainer-based contractors submit monthly status update emails on the last Friday of each month.
Sales & Marketing Support
- Participate in weekly staff calls with CEO and sales directors.
- Generate quarterly sales bookings metrics reports in Microsoft Excel.
- Plan for and attend the CyberMarketingCon conference each December hosted by the Cybersecurity Marketing Society.
- Plan dinners and fun events associated with annual company holiday weekends to precede CyberMarketingCon each December. All who attend are encouraged to invite a guest at CyberEdge's expense.
- Submit monthly and ad hoc website update requests to CyberEdge's webmaster, including portfolio updates, news updates, conference updates, and more.
Accounting
- Log all invoice submissions to a Google sheet on a daily basis.
- Ensure all vendor and contractor invoices are paid on time.
- Ensure client purchase orders (POs) are provided following execution of client statements of work (SOWs).
- Create and submit customer invoices.
- Notify customers of past-due invoices.
- Provide signed IRS W-9 forms and payment instructions to new customers.
Human Resources & Recruiting
- Manage our ApplicantPro applicant tracking system for recruiting contractors and employees. Ensure active job postings are depicted on the Careers page of the CyberEdge website.
- Log qualified applicants to Google sheets for review by CyberEdge's CEO. Screen applicants approved to be interviewed by the CEO.
- Onboard new contractors and employees, including conducting background checks, obtaining bank details for payments, obtaining signed IRS W-9 or W-4 forms, and creating new CyberEdge email accounts in Office 365.
Marketing Bank Accounts Administration
- Create Google sheets for customers that deposit funds into their Marketing Bank Accounts to be allocated to new marketing initiatives over a six-month span.
- Update Marketing Bank Account Google sheets as projects are completed.
- Notify customers when their Marketing Bank Account balances run low (i.e., <20% remaining).
- Send emails to Marketing Bank Account holders on the first business day of each month to remind them of their balances and balance expiration dates.
QuickBase Administration
- Maintain the "CyberEdge Central" application based on the QuickBase platform to depict all customers, contractors, and customer engagements.
- Add new projects, retainers, and Marketing Bank Accounts upon execution of customer SOWs.
- Evaluate the status of each customer engagement every Friday and assign an appropriate status color coding (i.e., green, yellow, red).
- Suggest enhancements to the CyberEdge Central application to improve efficiency.
Education, Skills, & Experience
- Minimum of five years of business operations experience, including accounting and human resources functions
- S. or B.A. undergraduate degree
- Strong verbal and written communications skills
- Excellent organization skills and attention to detail
- Knowledge of Microsoft Word, Microsoft Excel, and Google Sheets
- Experience using accounting software (QuickBooks Online experience a plus)
- Experience using customer relationship management (CRM) and marketing automation software (HubSpot Sales Hub and Marketing Hub experience a plus)
- Experience using an applicant tracking system (Applicant Pro experience a plus)
- Ability to effectively prioritize multiple tasks
- Ability to perform job responsibilities with little management oversight
- Available home office space, cell phone, Internet access, and office supplies
