Job Summary
- Manage the set-up of customers to facilitate loading at equity, terminal agreement, and exchange truck rack terminals for Light Oil Marketing, Product Supply Exchanger, and Terminals & Pipeline truck rack customers.
- 'Set-up' duties include programing and coordination with various CITGO departments and 3rd parties to ensure customers are cleared to load at the desired terminals after all the required executed documents, insurance certificates, and contract revisions are complete. Proactive calling of involved parties is required for success.
- Manage operations data in TABS (Telephone Accounting and Billing System) system for CITGO. TABS is proprietary software of DTN that is used by the oil industry to share truck loading detail data among exchange and terminal thruput partners to facilitate accurate and timely billing.
- Closely coordinate with LOM Customer Service staff to insure contracts are set-up correctly to facilitate entry into the TABS system for successful and on-going truck loading per contract provisions.
- Troubleshoot reported truck rack loading failures and truck rack local data, TABS entries, or headquarter data errors to fix errors causing cleared customer to not be able to load. Success requires close contact and relationships with CITGO field Terminal Managers and staff.
- Coordinate the efforts of the After Hours Allocation Hotline (Tconsole) for CITGO with Pricing Managers.
- Consult with Sales, Product Supply, and TPL Business Development to assist in setting up and maintaining functionality of demand planning forecasts and allocations in line with product inventories and sales projections.
Minimum Qualifications
- College Degree OR experience in lieu of Degree
- Prefer: High Level expertise in SAP, Power BI, Excel and BI/BW
- The minimum number of years of job related experience required by this job is: 5 years with a college degree OR 10 years of experience without a college degree.
Job Duties
- Manage the set-up and troubleshooting of LOM, PS Exchanger, and TPL TA truck rack customers and insure loading works as contracted. This is an on-going task as there are after-hour calls and numerous updates to files that required coordination with TPL Terminals Managers and staff, Customer Service for Contracts, Products Supply for exchanger requirements and customer clearance on both sides of exchanges, and LOM Sales Staff for branded and unbranded customer set-up and maintenance.
- Daily communication and negotiations with Region and Territory Sales Managers to ensure customer needs are being met and to get in front of contract changes that will impact loading authorizations.
- Closely coordinate with LOM Customer Service to insure contracts are set-up correctly to facilitate entry into SAP and the TABS system for successful and on-going truck loading per contract provisions.
- Support the Region Pricing Mangers in implementing allocation strategies during market disruptions to minimize the impact of outages given the business trends, pricing trends, seasonal trends, legal requirements and new business expectations. Strive for continuous improvement in the department's Business Continuity Plan.
- Collaborate with all Supply and Marketing areas to assure customer set-ups, prices, costs and product allocation are set and functionally operating in CITGO systems accurately. Coordinate with assigned back-up and After Hours Allocation Hotline (Tconsole) to ensure quick and timely customer service is maintained throughout CITGO's terminal marketing footprint.
- Special projects relating to truck loading and billing excellence and LOM Pricing back-ups as assigned and needed.
