The required hours for this position will be Tuesday-Saturday 9am - 6pm.
JOB SUMMARY STATEMENT: Performs responsible clerical and administrative duties of the front desk for the Blue Springs Parks and Recreation Department located at the Carson Ross Community Recreation Complex. Works in conjunction with the Customer Relations Supervisor to assist in various operations of the Front Desk, Parks and Recreation Department, and facility. Ensures Customer Service standards are maintained, and acts as Supervisor on Duty when other full-time staff is not present. Assist the public with inquiries and always represent the department in a courteous and professional manner.
DUTIES AND RESPONSIBILITIES:
1. Accepts registrations and payments for programs, memberships, and facility reservations.
2. Responds to inquiries from the public, answer questions and provides information whenever possible, referring to appropriate staff when necessary. Provide tours to prospective members.
3. Understanding of basic accounting practices and procedures. Ability to balance and reconcile daily cash receipts as needed.
4. Maintain the front desk area in a clean and organized manner.
5. De-escalate customer disputes, and handle rule violations including the expulsion of patrons from the facility when necessary.
6. In case of an emergency, follow the facility's emergency action plan and assist in the event of injury, notify the appropriate agency as dictated by the emergency. Complete Incident forms as needed.
7. Attend appropriate staff trainings and ensures policies and procedures are followed.
8. Primary contact for shelter rentals and associated reports.
9. Manages day pass record management program, ensuring accurate information for facility use. Monitors day pass attendance to determine facility capacity limits as needed. Ensure confidentiality of all data.
10. Facilitates and oversees the ordering, record keeping, and budgeting for the department's participation in the Missouri Parks and Recreation Association's ticket consignment program.
11. Responsible for inventory and ordering of office supplies as necessary for operation, including printer operations and equipment replacement/repairs.
12. Administers CivicRec program; ensures accurate data and address any software issues/updates with vendor. Provide appropriate reports from CivicRec program. Ensure confidentiality of all data.
13. Assist with administrative tasks and special projects including, but not limited to data entry, reporting, mailings, filing, typing letters, memoranda, reports and other documents, etc.
14. Maintain the front desk area in a clean and organized manner.
15. Assist with other duties as assigned.
The above duties and responsibilities include those tasks, physical and mental requirements, visual requirement, unique physical surroundings and mental/cognitive abilities required to perform the essential elements of the position.
GENERAL QUALIFICATIONS:
1. Education and Special License(s)/Certifications - High school diploma or equivalent, with two years of business college studies preferred. First Aid/CPR certification or ability to obtain within 6 months of employment.
2. Experience – One to three years of experience in a related field, supervisory experience preferred.
3. Skills - Skill in operating general office equipment such as computer, phone, fax, copy machine, calculator etc. Experience with Microsoft Office suite – Word, Excel, Outlook, etc. Knowledge of general office procedures. Excellent customer service skills.
4. Mental Requirements - Ability to establish and maintain effective working relationships with city officials, employees and the public. Ability to communicate effectively, both orally and in writing. Ability to maintain clerical records and prepare reports. Ability to perform tasks with minimum supervision. Ability to follow oral and written instructions.
5. Physical Requirements - Must be able to sit for prolonged periods; must be able to listen to normal conversation; must be able to walk occasionally, and use hands and fingers to operate, handle, or feel objects, tools, or controls; must be able to reach with hands and arms; must be able to have vision sufficient to see close up and have the ability to adjust focus; and, must be able to occasionally lift up to 25 pounds and transport it 15 feet.
6. Supervisory Responsibility –Supervision of daily work tasks of assigned staff when needed in Supervisor on Duty role.
