This position ensures that key processes such as faculty recruiting, promotions, tenure, awards, sabbaticals, and retirement transitions are executed efficiently and in accordance with institutional guidelines. This position utilizes 3rd party and university reporting applications to generate reports and analyzes data; collects data and information on internal and peer trends and issues; works closely with the Associate Dean for Academic Affairs and the Director of Human Resources on faculty recruitment, retention, salary reviews and appeal decisions; drafts revised or new policies as they relate to faculty affairs; develops content for college website for faculty affairs. The Director will maintain faculty records, oversee the nomination and selection process for various awards, and serve as a resource for faculty throughout their academic career. The Director of Faculty Affairs reports to the Associate Dean for Academic Affairs. Job Responsibilities Development and Operational Management of Faculty Programs (50%) * Develop a comprehensive schedule for departmental reviews, ensuing all departments are reviewed on a regular cycle; coordinate with department chairs to establish timelines and review objectives; organize and facilitate initial planning meetings with review committee and stakeholders * Analyze quantitative and qualitative data to identify strengths, weaknesses, opportunities, and threats to faculty success across the college * Track and support CSE fellows in the Presidential Postdoctoral Fellows Program (PPFP) * Administer the application process for faculty sabbaticals (including sabbatical funds), reviewing submissions to ensure compliance with university guidelines * Coordinate with the Associate Dean for Academic Affairs to provide faculty development opportunities and workshops on teaching, research and professional development * Serve as an advocate for the department's faculty to the College leadership and the University community. * Identifies and implements process improvement strategies to optimize faculty affairs workflow within the Dean's Office and across the college * Monitor trends in higher education and recommend strategic initiatives * Participate in the development of policy and strategic planning in the college. Faculty Recruitment, Hire, and Retention (20%) * Ensures compliance and best practices across academic departments in the handling of faculty appointments and searches. Ensures training of staff involved in faculty affairs concerning proper processes and related policies. * Acts as a key liaison with the provost's office faculty resource staff and serves on key faculty affairs committees. * Support design, roll out, and evaluation of a robust faculty onboarding plan in collaboration with CSE HR. * Track negotiations, employment offers, and retentions * Assist with facilitating the faculty search committee process and internal/external department head searches Promotion and Tenure (P&T) (20%) * Provide expertise on the promotion and tenure process as it relates to University governance and procedure. * Serve as the subject matter expert for Department Chairs, Department Administrators, and Dean's Office staff. * Aid in guaranteeing that all faculty promotion and tenure records ensuring the accuracy and confidentiality of all information * Managing College Level Review Process (e.g., tracking committee membership terms and appointments; updating templates; staffing meetings and attending to procedural regularities; proo ing memos; serving as point person for the Provost Office and submitting dossiers to Provost following College Review). * Facilitate in the preparation, distribution, and communication of promotion and tenure (P&T) guidelines, criteria, and timelines. Including Form 12s, Form 13s and P&T dossiers with the CSE Dean's Office Administrative Assistant. * Support the Associate Dean for Academic Affairs with being a liaison to the Office of the Executive Vice President and Provost on P&T matters. Miscellaneous (10%) * Serve as a liaison between departments and the CSE Dean's Office administration on matters related to faculty affairs * Manage the nomination and process for faculty awards and honors, ensuring deadlines and criteria are communicated and followed * Address inquiries and resolve issues in a timely manner * Other duties are assigned based on the changing needs of the CSE Dean's Office Qualifications Required Qualifications: * Bachelor's degree plus at least six years of relevant experience, or a combination of education and relevant work experience to equal at least ten years * Evidence of effective relationship-building, team-building, and oral/written communication skills * Ability to work well independently and collaboratively * Strong interpersonal skills and oral and written communication skills * Demonstrated ability to establish and maintain effective working relationships with a wide range of constituencies (faculty, staff, and students) in a diverse community * Excellent organizational skills, attention to detail, and ability to manage simultaneous projects, meet deadlines, initiate projects, and see them through to completion * Proficiency in using MS Word, Excel, PowerPoint, and Google Suite * Experience working independently in a fast-paced environment with competing deadlines Preferred Qualifications * Master's degree * Three years of related work experience that includes data analysis related to academic faculty * Experience working with faculty records and confidential materials * Familiarity with the U of M systems (peoplesoft, simplyvoting, chromeriver) * Experience working in science and engineering academic settings in higher education * Experience supporting educational programs and faculty at either undergraduate or graduate level * Knowledge of U of M policies and procedures * Experience supporting faculty searches, promotion and tenure, and program analyzing About the Department You can visit our website to learn more about the College of Science and Engineering.
