Security Clearance Required
OTA is seeking detail-oriented Course Management Support Specialists to provide comprehensive administrative and logistical support for course directors, government officials, instructors, and students. This role involves managing class schedules, coordinating student activities, arranging logistics, and ensuring smooth course execution from enrollment to graduation. The ideal candidate will have experience in educational administration, student support, and event coordination within a military or government training environment.
This position is contingent upon contract award.
Responsibilities
- Provide administrative support to the course director, government flight leads, operations officer, and commander
- Assist FTU staff, instructors, and course directors in class planning, logistics, student support, and class administration
- Maintain communication with the FTU registrar, 39 IOS/SO, and course directors
- Manage student rosters, arrival dates, security clearances, and course prerequisites for in-residence, MTT, and online ADL programs
- Manage billeting arrangements with local base lodging for students
- Assist with registrar duties by updating class rosters, coordinating student clearance validation, and arranging indoctrination
- Coordinate with IA and the Help Desk to ensure student access to computer systems and network accounts
- Organize and distribute student welcome packages, seating charts, and required documentation for new students
- Direct students to appropriate agencies for day-to-day support, such as billeting, medical, and legal services
- Coordinate and maintain course schedules (daily, weekly, monthly, annual) for accuracy and completeness
- Assist with the scheduling of guest instructors and commercial certification training sessions
- Provide test proctoring coordination for both staff and students
- Manage the in-processing of students and guest instructors through the 39 IOS/SO and facilitate day-one briefings
- Ensure all students complete required government documentation, including class rosters, network accounts, and enrollment paperwork
- Monitor student attendance and report instances of tardiness, inattentiveness, or behavior issues to the appropriate government representatives
- Collaborate with COR and the government team lead to address study hall requirements and assist with managing test failures
- Compile, print, and coordinate all graduation documentation
- Assist with the planning, preparation, and execution of graduation ceremonies and activities.
- Ensure all documentation, schedules, and processes are accurate and complete
- Provide support and assistance to students, instructors, and staff as needed
- Address logistical challenges and student needs promptly and effectively
- Work closely with multiple stakeholders, including government personnel and contractors, to ensure smooth course execution
Required Qualifications
- Secret security clearance with SCI eligibility
- Associate Degree or approved equivalent experience
- Minimum of 4 years of task management experiences
