Overview
The Corporate Office Administrator reports to the Chief of Staff to the CEO.
The Opportunity:
The Corporate Office Administrator oversees the daily operations of Better Health Group's corporate headquarters while providing executive-level administrative support to the CEO and the Executive Leadership team. This role is pivotal to ensuring seamless office management and high-level administrative support, contributing to an efficient, professional, and collaborative work environment. This is an in-person role based at the corporate headquarters in Tampa, FL; with the exception of holidays and PTO, the incumbent is required to be onsite five (5) days per week.

This role is pivotal to ensuring seamless office management and high-level administrative support, contributing to an efficient, professional, and collaborative work environment. This is an in-person role based at the corporate headquarters in Tampa, FL; with the exception of holidays and PTO, the incumbent is required to be onsite five (5) days per week.
Responsibilities include and are not limited to:
- Office Administration:
- Oversees the day-to-day operations of the corporate headquarters in Tampa, FL, including facilities management, vendor relationships, office supplies, and workspace organization.
- Coordinates building maintenance and security, ensuring a safe and comfortable environment for Team Members and visitors.
- Plans and executes corporate events, meetings, and Team Member engagement activities, enhancing the corporate culture and work experience.
- Serves as the point of contact for all office-related inquiries, ensuring prompt and effective resolutions.
- Serves as the primary point of contact responsible for fire drills, overseeing the safe evacuation of Team Members during emergencies, and educating them on proper emergency protocols.
- Executive Support:
- Provides comprehensive administrative support to the CEO and the Executive Leadership Team (ELT), including managing calendars, travel arrangements, and meeting coordination.
- Prepares, edits, and manages documents, reports, presentations, and correspondence for executive review.
- Serves as a liaison between the CEO, ELT, and internal/external stakeholders to ensure clear communication and alignment.
- Manages and prioritizes incoming requests, communications, and inquiries, ensuring timely responses and focus on urgent matters.
- Maintains confidentiality and discretion with sensitive information, building trust and integrity in all interactions.
- Organizes and coordinates logistics for Board meetings, off-site events, company retreats, and other executive functions, including lodging, catering, and transportation.
- Processes and tracks expense reports for the ELT, ensuring timely reconciliation and adherence to budget guidelines.
- Maintains an organized filing system for business documents and oversees critical deadlines to ensure timely completion.
- Acts as a gatekeeper for the CEO's time, focusing on high-priority tasks and meetings.
- Operational Efficiency and Process Improvement:
- Develops and implements office policies and procedures that enhance operational efficiency and support organizational goals.
- Identifies opportunities to improve office workflows and administrative processes, implementing best practices for better productivity and service.
- Supports onboarding and orientation for new hires at the corporate headquarters by warmly greeting them on their first day, collecting I-9 information, giving an office tour, and providing guidance to ensure a smooth and welcoming start to their employment.
Responsibilities
Position Requirements/Skills:
- Bachelor's Degree in Business Administration, Office Management, or a related field, or would consider equivalent years of directly related experience in place of a degree
- 5+ years of experience in office administration and executive support, preferably in a corporate or high-level environment
- Strong organizational and multitasking abilities, with a proven track record of managing complex calendars, travel, and office operations
- Exceptional communication and interpersonal skills, with the ability to interact effectively at all organizational levels
- Highly proficient with Microsoft Office applications, (Outlook, Word, Excel, PowerPoint, etc.) for real-time collaboration
- High level of professionalism, confidentiality, and discretion in handling sensitive information
- Ability to anticipate needs, take initiative, and work independently in a fast-paced environment
- Excellent organizational, time-management, and project-management skills
- Results-oriented with a focus on quality execution and delivery
- Strong critical thinking and problem-solving skills
Physical Requirements:
- Physical ability to sit, stand, and move freely about the office
- Must be able to remain in a stationary position up to or exceeding 50%
- Ability to stand, walk, and sit for long periods
- Ability to bend, stoop, kneel, squat, twist, reach, and pull
- Constantly operates a computer and other office productivity machinery, such as a copy machine, and computer printer
