About the Job
Under the supervision of the Corporate Events and Merchandising Manager, and following general guidelines, this role involves performing duties that require in-depth knowledge and accuracy in invoice verification/processing and transaction review for completeness and proper authorization. Responsibilities include posting and balancing accounts, preparing post-event reports and expense summaries for the Corporate Events and Merchandising Department, and miscellaneous clerical tasks such as file creation, labeling, copying, and scanning.
Additionally, the role includes coordinating all logistics for multiple dealer-related events/trade shows throughout the year. This involves coordinating packing, shipping/return of displays with external vendors, overseeing show materials storage and inventory, and working closely with sales staff and vendors to complete each event. The position also assists with larger shows/events within the Corporate Events Department and Marketing as a whole.

Additional Responsibilities:
- Prepare purchase orders, process invoices, reconcile charges, and maintain financial records for all related expenses.
- Coordinate dealer shipments, ensuring timely delivery and return of displays and materials.
- Provide on-site support for events, managing logistics and ensuring smooth operation.
- Liaise with external vendors and service providers to manage contracts, negotiate rates, and ensure quality service.
- Conduct post-event evaluations, compiling feedback and identifying areas for improvement.
- Maintain inventory of event materials, ensuring proper storage and organization.
- Collaborate with the marketing team to align event strategies with overall marketing goals.
- Develop and maintain event schedules, timelines, and budgets.
- Assist in the creation and distribution of event marketing materials.
- Ensure compliance with company policies and procedures in all event-related activities.
1 to 3 years of experience in an accounting environment or a related field. A 2-year college degree from an accredited institution, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
Skills:
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Experience with ProcessIt, Concur, and Oracle is a plus.
- Strong planning, organizational, and customer service skills.
- Detail-oriented and self-motivated.
- Positive attitude with strong interpersonal, written, and verbal communication skills.
- Exceptional organizational abilities and the capability to manage multiple projects simultaneously.
- Basic mathematical computations, accounting and record keeping, and basic budgeting theories and principles.
- Ability to work independently and as part of a team.
Physical Demands:
- Ability to stand, sit, move, and use fingers for extended periods.
- May require walking primarily on a level surface and reaching above shoulder height and below the waist.
- Warehouse duties may involve bending, walking, or standing for extended periods, as well as lifting up to 60 pounds in both office and warehouse environments.
Work Environment:
- Primarily a typical office environment with controlled mild temperatures.
- Frequent work in a warehouse environment, which is not temperature-controlled.
