At ACA, our Corporate Assistant enhances senior leader’s effectiveness by performing administrative duties. Responsibilities may include screening calls; managing calendars; making travel, meeting, and event arrangements; preparing reports and financial data; as well as customer and employee relations. Sensitivity to confidential matters is required.
Essential Functions

- Serves as the primary administrative support personnel to Chief Servicing Officer
- Manages and maintains the executive’s schedule, appointments and travel arrangements
- Prepare expense reports in Concur for processing by Accounts Payable
- Arranges and coordinates meetings for executive and direct reports, ensuring that all necessary information and materials are available
- Prepares and edits drafts of correspondence, communications, presentations and other documents in advance of meetings, disseminating, as requested
- Develops and maintains filing systems, as needed
- Arranges and schedules travel for executive, as needed, obtaining the most cost-efficient flights/hotels/car rentals available
- Coordinates calendars, schedules and travel for prospective candidates for executive and senior leadership roles reporting directly to COO
- Performs other related functions delegated or assigned by the Executive Assistant
- Contributes to company programs and initiatives
- Other tasks as assigned
Qualifications
- 3+ years of experience in an administrative assistant role
- Must be proficient in Microsoft Office products, specifically with Excel, Word, PowerPoint and Outlook and be technically inclined. Skills in Visio are preferred
- Positive attitude; high energy; assertive
- Must possess a strong ability to prioritize
- Outstanding organizational and planning skills
- Exceptional verbal and written communication skills
- Excellent customer service skills
- Be a self-starter, able to work independently utilizing good judgment and decision-making skills

- Proficient computer skills and strong willingness to learn any additional relevant software
Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment and Physical Demands
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Position Type/Expected Hours of Work
This is a full-time position with a work schedule of Monday-Friday with some schedule variations as needed.
Travel
No travel is expected for this position.
