Position Summary:
The Office Services Copy Clerk supports pre-production and post-production activities, focusing on inventory management, shipping and receiving, and assisting the Production team with various tasks to ensure smooth operations and timely order fulfillment.
Key Responsibilities:
- Use job tracking systems (EFI ShipExpress, PrintSmith Vision, FedEx Ship Manager) to prepare and label shipments accurately
- Verify incoming shipments, ensure goods are in acceptable condition, and update inventory records
- Log new orders and route them to the appropriate departments
- Monitor inventory levels and notify management when supplies need restocking
- Organize and maintain stock to support efficient production operations
- Assist with finishing tasks, including shrink wrapping, folding, collating, stapling, kitting, and bundling
- Prepare kits by pulling inventory, assembling items, and packaging for delivery
- Serve as a quality assurance checkpoint by thoroughly reviewing completed jobs before shipment
- Notify the team of any reprint needs and collaborate to resolve issues
- Support customer service by tracking shipped packages and handling walk-up order deliveries
- Follow waste reduction and safety practices
Requirements:
- Minimum one year of administrative or file clerk experience
- High school diploma or GED required
- Valid driver’s license
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
- Familiarity with Adobe Creative Suite (Photoshop, Illustrator, Acrobat)
- Strong multitasking, organizational, and prioritization skills
- Knowledge of bindery equipment and techniques (folding, scoring, laminating)
- Familiarity with CMYK ink systems and paper stocks
- Excellent attention to detail, proofing skills, and ability to follow instructions
- Ability to work on your feet and lift up to 50 lbs
Physical Requirements:
This position requires standing, moving around, and lifting for extended periods. The ability to operate computer equipment, bend, stoop, reach, and carry up to 50 lbs is essential.

- the individual’s skill sets, experience and training;
- licensure and certification requirements;

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
