POSITION SUMMARY
The Coordinator is responsible for overseeing a full range of projects and operational support for the Chief Engineer, Assistant Chief Engineer, and the Property Management team.
WHAT YOU'LL DO
Responsibilities include, but are not limited to, the following:
- Manage the research and processing of accounts payable invoices in Nexus/MRI, the online payment software
- Serve as a liaison with partner vendors and other internal departments, including but not limited to property management, accounting and lease administration
- Manage vendor agreements: generate utilizing templates, manage signature execution, tracking and publication/archiving
- Maintain general knowledge of department procedures, and serve as the department point of contact for general inquiries
- Archive and post documents using Workdocs and other e-document storage systems
- Publish and distribute internal communications using email and Workdocs
- Provide daily administrative support for Engineering Services leadership and Property Management team
- Monitor compliance of vendor and tenant certificates of insurance
- Assist Engineering and Property Management Teams with creating, tracking and monitoring purchase order agreements.
- Monitor, create and manage work ticket submissions in the property online work ticket systems.
- Assist Engineering and Property Management Teams with production and submission of monthly reports.
- Complete special projects and other duties as assigned
WHAT YOU'LL NEED TO SUCCEED (REQUIREMENTS)
- High school diploma or equivalent required; College degree preferred
- Three (3) or more years of office experience, preferably in the facilities management, or real estate industry with a basic understanding of general accounting procedures
- Tenant may require additional background screening and or documentation
Technical Skills:
- Familiarity with accounting practices and software applications, with the ability to learn and effectively use internal applications such as Yardi II Voyager/PayScan, MRI Angus, ServiceFactor, Corrigo Enterprise/Pro, SightPlan, Nexus, etc.
- Proficiency with Microsoft Windows, Word, and Outlook is required; and intermediate-level skills or better with Microsoft Excel is required.
- Proficiency with Microsoft Teams, SharePoint, Workdocs, Smartsheet and Outlook is preferred.
- Knowledge of and experience working with databases, tables, queries, and reporting is preferred, Microsoft Access experience or equivalent is desired.
- Experience working with customer relationship management and maintenance management systems is preferred.

- Accurate typing, strong organizational, and detailed record-keeping skills
- Ability to effectively manage and complete multiple, concurrent projects, and tasks
- Analytical skills: accurately collect, interpret, organize, and evaluate detailed data
- Must be dependable, punctual, have excellent attendance, ready to work Monday through Friday from 8:00 am to 5:00 pm and have schedule flexibility and able and willing to work earlier or later on occasion as needed for Company business (employee events, early/late meetings, deliverables, etc.).

While performing the duties of this job, the employee is subject to extremes of temperature while working in mechanical rooms, on cooling towers or outdoors. The noise level in the work environment is usually moderate.
