Overview:The Coordinator, People Services is responsible for effectively supporting the People Services department, playing a role in keeping business projects and activities on track and moving forward by efficiently facilitating administrative functions.
Responsibilities
Perform full range of administrative assistance in support of the People Services department.
Assist with various administrative tasks including but not limited to calendar management, scheduling, and travel arrangements.
Arranges and coordinates meetings, 1:1’s, including scheduling, material preparation, technology set-up, preparing meeting agendas and minutes, and post-meeting follow-ups.
Works both independently and within a team on special, non-recurring, or ongoing projects.
Acts as a project coordinator for special projects which may include assembling and analyzing information, planning, and coordinating multiple presentations, and disseminating information.
Composes and prepares correspondence, communications, reports, presentations, and other complex documents from very rough drafts.
Coordinates department events, programs, and activities including planning, issuing information or invitations, sending communications, arranging facilities and caterers, and coordinating logistics.
Conducts background research and provides pertinent materials to prepare department leaders for upcoming meetings and conferences.
Processes expense reports, check requests, and reconciles corporate credit card accounts.
Participate in the Support Center Culture Club initiatives.
Compile reporting and transform data into a presentable and easily digestible format.
Facilitate training plans and support onboarding of new People Services team members.
Manage People Services department pages of the PDSConnect Intranet by updating, creating, deleting content as needed.
Coordinate interactions/relationships between staff, administrators and all other program stakeholders.
Other duties as assigned by management.
Qualifications
Associate’s or Bachelor’s Degree in a related field, or HR Certificate. In lieu of degree, 2+ years of experience is required or the equivalent combination of education and experience.
Proficient in MS Office Suite, especially in MS Outlook, MS PowerPoint, MS Visio, and MS Excel using pivot tables and VLOOKUP.
Preferred
Experience in a multi-regional healthcare, retail, or dental company.
Experience with HRIS (Human Resources Information System), systems and software; preferably Workday.
Use and knowledge of Smartsheet and Canva or equivalent.
