The Office of Institutional Advancement at High Point University seeks a full-time Coordinator of Development Operations to perform administrative and operational duties, including those of a confidential nature, to maintain the efficiency of the office and to execute the tasks associated with the Assistant Vice President of Development. The Coordinator of Development Operations must be passionate for the mission and values of High Point University and fundraising for university priorities. Must be enthusiastic for fundraising and/or sales in a university setting, and have high energy, drive, integrity, sincerity. This position also must have a desire to work collegially within a goal-oriented fundraising organization. The Coordinator of Development Operations reports to the Assistant Vice President for Major Gifts, and provides support for the family, major gifts and planned giving programs of the Office of Institutional Advancement.
MINIMUM QUALIFICATIONS:
Education
- Bachelor’s degree required.
- 1-2 year’s previous experience as an Administrative Assistant.
Knowledge, Skills, Ability
- Familiarity with project management and organizational skills fitting for an office environment.
- Exceptional written and interpersonal skills,
- Must have a background in customer service.
- Ability to pay close attention to detail.
- Ability to work efficiently on multiple assignments involving staff, faculty, volunteers, and donors.
- Must be discreet with the ability to interact with high-level donors.
- Must be able to perform tasks on own initiative.
ESSENTIAL FUNCTIONS:
- Handles administrative duties, which include but are not limited to, preparing reports, arranging meetings and travel, drafting high level correspondence, reconciling finances, and providing technical and logistical support.
- Proactively supports the AVP in the execution of strategies designed to increase the effectiveness of the major gifts, planned giving, and family engagement programs of HPU.
- Manages the calendar and communication coordination for Assistant Vice President for Development.
- Coordinates planning meetings, training sessions, seminars, and other relevant events for the major and planned giving program and team members.
- Prepares necessary documents for team members' use in meetings; may attend meetings to take minutes or provide information and serve as a resource person.
- Manages the Calendar and Communications with the Assistant Vice President of Development.
- Drafts donor pledge agreements, in cooperation with the Administrative Assistant to the VP, or other necessary documentation to advance the solicitation process and secure current and future gifts.
- Collects all receipts for financial transactions according to departmental and university standards, coordinating when needed with other office administrators.
- Maintains appropriate records for documentation requirements.
- Embraces and articulates the mission and culture of High Point University, possessing a working knowledge of its programs and departments to ensure forward thinking processes and efficiency.
- Manages invoices and quotes to facilitate the procurement process for the Office of Institutional Advancement.
- Responsible for ensuring proper coding and reporting of the major gifts, planned giving, and family engagement programs’ progress towards goals using Raiser’s Edge, Excel, and other software platforms.
ACCOUNTABILITY:
- Reports to the Assistant Vice-President for Major Gifts.
