Reporting to the CFO, the Controller is an integral team member of the finance department. This role is responsible for leading and managing the Accounting and I.T. functions for the company. This role will work closely with the Finance Manager and the Senior Leadership Team.
ESSENTIAL DUTIES & RESPONSIBILITIES
Leadership
Provide effective advice, counsel, analysis, and interpretation of financial and operational data to support decision making. Use the financial reporting and analysis prepared by the Finance Manager to help you do this.
Develop enhancements to internal processes that drive greater efficiency throughout the organization.
Manage a team that provides thorough, accurate and helpful financial information and performs all regulatory reporting requirements.
Develop and mentor the team members to further advance their skills, capabilities, and professional development.
Develop and maintain accounting policies, procedures, and internal controls.
Maintain the integrity of financial systems and recording of transactions through the exercise of “best accounting practices” and application of GAAP.
Develop the frameworks to support a multitude of growth opportunities (i.e., new locations, new product lines, acquisitions, and new businesses).
Develop positive relationships with the company staff, the board, audit and tax firm, banks, I.T. outsource firm, customers, and vendors.
Financial Reporting
Review the monthly financials to help the Finance Manager explain the results to Plan and Prior Year.
Financial & Tax Compliance
Review and payout tax distributions to partners by working with tax firm.
Provide tax information to tax firm as needed.
Review all state and local tax returns prepared by staff.
Maintain an inventory list of tax returns in a schedule that shows the purpose of each return, when it’s due, who prepares it, and who it goes to.
Lead the annual financial audit by the CPA firm, ensuring that we have a successful audit with the help of the accounting team.
General Ledger Activities & Month End Close
Responsible for leading month-end close, including the calculation, preparation, and review of journal entries to ensure compliance with GAAP.
Maintain the month-end close calendar and task list.
Manage chart of accounts to support and enhance accounting, tax, and overall business functionality.
Prepare and review supporting documentation and reconciliations for journal entries.
Maintain and reconcile balance sheet accounts.
Participate in special projects, such as acquisitions, divestitures, etc. as needed.
Lead staff accountants in execution of key general ledger activities.
Cash Management
Oversee the GL and Payroll Accountant’s daily cash report to management.
Review the 13-week cash forecast prepared by the Finance Manager to help you understand the company’s cash position and liquidity.
Accounts Receivable
Review past due AR balances weekly with the AR Specialist and give directions as needed.
Maintain and improve AR policies and procedures.
Review and approve all credit memos.
Approve any bad debt write-offs.
Review the weekly AR report prepared by the AR Specialist to help keep the AR as current as possible and minimize our days sales outstanding on the balance sheet.
Accounts Payable
Maintain controls around the keeping and issuance of paper check stock.
Approve ACH’s through online banking system.
Review weekly vendor payments and sign checks.
Help Accounts Payable with transactional coding to the general ledger when needed.
Payroll
Help to manage Time Clock Plus as a timekeeping system.
Review payrolls and payroll tax returns prepared by the payroll accountant.
Review and approve the bi-weekly payrolls and monthly commission payrolls.
Approve final payment of payroll, benefits and payroll taxes.
Monthly Sales Commissions
Review the monthly commission calculations.
Direct accounting staff on making the journal entries and reconciling the commission accrual account every month.
Inventories
Work with the Finance Manager and Purchasing Specialist to ensure that there are controls in place to safeguard inventories.
Ensure that inventories are properly valued at month-end at the lower of cost or market.
Fixed Assets
Direct staff on accounting for capital expenditures and ensure that internal WT’s are setup as needed.
Track capital expenditures so that they can be accounted for in the company’s fixed asset listing, capitalized in the GL when placed in service and depreciated/amortized appropriately.
Maintain fixed asset tracking system to account for the net book value of the assets and record depreciation expense.
I.T.
Oversee the outsourced I.T. function ensuring that our systems, network, servers and I.T. recovery plans are being managed according to best practices.
Trouble shoot and resolve issues with the ERP system, time keeping system, and company expense reporting system.
Assist and coordinate with the I.T. outsource firm with regards to security, hardware and network improvements when needed.
Policies, Procedures, and Internal Controls
Oversee the development and maintenance of accounting policies, procedures, and internal controls in written documents that the appropriate people can access.

WORKING PARTNERSHIPS:
Establishes and maintains strong working relationships with all levels of the organization including co-workers, management, customers, and vendors as applicable.
REQUIREMENTS:
Education
An undergraduate degree in business or related field and an MBA or related advanced degree would be beneficial. CPA and deep understanding of GAAP accounting preferred.
Experience
Senior leadership business experience in accounting and / or finance of at least 7 to 10 years.
Management of I.T., MIS and other systems is a plus.
Management experience in heavy equipment, service, dealership, construction, municipal/ sectors preferred.
The successful individual will have a proven background with a demonstrated track record of success.
Prior experience working with a private company board is a strong plus.
Proficient with Microsoft Office Suite: Excel, Word & Outlook
Intermediate software & technology experience.
Sage Software experience is a plus.
