Controller-East Bay Property Management/Real Estate

Our well-established Commercial Property Management firm, located in the South East Bay-Fremont, has over 40 years of experience managing a wide range of properties, including medical offices, commercial offices, R&D flex spaces, industrial, and retail complexes. Position Summary:
We are seeking a highly skilled and experienced Controller to oversee our financial operations. This position requires a broad background in real estate, accounting, and HR, with the ability to address a variety of tasks as they arise. The ideal candidate will demonstrate experience in financial statement preparation, lease administration, payroll operations, and managing internal audits and insurance programs.
Key Responsibilities:
Accounting:
- Maintain General Ledger, AR, AP, and subsidiary ledgers with related work papers.
- Prepare financial statements and schedules for submission to outside CPA for income tax returns.
- Develop and analyze budgets, including budget variance reports.
- Oversee year-end closing procedures and tax reporting for CPA.
Payroll & HR Administration:
- Process bi-weekly and monthly payroll via ADP.
- Maintain personnel files and administer worker's compensation insurance reports.
- Manage health, dental, and Simple IRA plan.
- Oversee maintenance staff billing and related payroll reimbursements.
- Review and update Employee Handbook & IIPP with an external consultant.
MIS/Computer Systems & Software:
- Work with the CEO to manage network server administration and IT/software consultants.
- Ensure timely updates to Sage 300 Timberline and QuickBooks software.
- Implement backup procedures and maintain proper software protocols.
Property Management/Lease Administration:
- Supervise or perform lease audits and set up in Sage 300 Timberline.
- Administer rent increases, cost of living adjustments, and triple net (NNN) or CAM reconciliations.
- Collaborate with leasing and facilities managers for budget preparation.
Accounts Receivable:
- Supervise AR process, including rent charges, late fees, and aging reports.
- Review and approve tenant invoicing and deposits.
Accounts Payable:
- Supervise AP process, including approval of GL coding and payment approvals.
- Ensure timely payments of property expenses and taxes.
- Conduct year-end reviews and audits.
Banking & Finance:
- Supervise monthly cash reports and bank reconciliations.
- Oversee online banking administration.
- Assist the CEO
