POSITION SUMMARY
This position operates within the accounting team and reports to the Executive Vice President, Chief Financial Officer. Under general direction, the Contract Specialist is responsible for supporting the company with respect to contract preparation, negotiation, administration and management in accordance with company policy and practice. This position is expected to provide world-class customer service, in some cases as the first point of contact to clients, partners, potential partners and/or third-party service providers, and working closely with the Executive Leadership Team. All duties should be performed while always maintaining the Nth Corporate Culture (see Appendix A). This is a Salary Exempt position.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but not limited to, the following:
Contract Coordination:
- Maintains Nth's standard contractual terms and conditions including regular review and updates to align with regulatory changes and business conditions.
- Participates in and may lead negotiations with clients and prospects based on requested modifications to Nth's standard contractual terms and conditions and other contractual documents.
- Reviews contractual terms contained within bids and proposals to ensure they align with Nth's standard terms and conditions.
- Negotiates agreements with potential partners, ensuring favorable business provisions and contractual terms that align with Nth's contractual terms and conditions.
- Negotiates agreements with third party subcontractors, ensuring appropriate flow-down provisions, compliance with insurance requirements, and other contractual alignment.
- Evaluates and recommends updates to Nth's contractual terms and conditions, master service agreements, and non-disclosure agreements.
- Represents Nth Generation as the primary administrative contact on assigned contracts.
- Identifies contract issues and provides leadership in developing solutions.
- Advises management of contractual rights and obligations and provides interpretation of terms and conditions.
- Maintains an awareness of regulatory changes and their impact on contracts/subcontracts.
- Maintains, analyzes, updates, and develops various electronic and hard copy records.
- Expected to work in a safe manner in accordance with established operating procedures and practices.
- Excellent teamwork skills. Notifies manager if additional resources are needed or priorities need to be defined/juggled. Provides backup when other team members are out of the office.
- Learns and maintains relationships necessary to ensure effective performance and appropriate decision-making.
- Proactively provides feedback relevant to contract administration to manager and other appropriate stakeholders.
- Keeps accurate records and notes regarding contracts and/or interactions, emails, and status reports.
Miscellaneous:
- Participates in meetings, trainings, planning sessions, etc., as directed by management.
- Offers suggestions to manager and team members on process improvements for job efficiency and accuracy.
- Flexible with demands on time and able to deal with frequent and last-minute scheduling changes.
- Able to work during Nth Generation's core hours of operation, from 8:00am to 5:00pm. Demonstrates flexibility to work early and/or late if there are last-minute requirements to perform tasks.
- As business and operational demands dictate, additional duties may be assigned and expected to be performed.

Education and / or Experience
- Typically requires a bachelor's degree in business administration with an emphasis in contract administration or a related discipline, along with 5+ more years of progressive professional experience in contract administration, preferably with a technology solutions and services provider. May substitute equivalent experience in lieu of education.
- Must have a demonstrated complete understanding of contract principles, theories and concepts and be fully knowledgeable of practices, techniques, and standards.
Skills, Knowledge and Abilities
- Must possess demonstrated ability to exercise sound critical thinking and judgment, including ability to develop solutions to a variety of complex problems.
- Excellent verbal and written communication and presentation skills to accurately document and report findings to a variety of audiences.
- Excellent interpersonal skills to influence and guide others.
- Knowledge of overall structure and use of Client Relationship Management (CRM) system.
- Must have analytical and critical thinking skills and be comfortable with managing large data sets.
- Able to maintain confidentiality of business or personnel information.
- Ability to quickly learn new concepts, practices, and processes along with the ability to use and navigate software applications relevant to the position, particularly Office 365, including the utilization of Teams, Outlook, Excel and Word.
- Is proficient in the use of FileMaker Pro, which is the company's database, for all information related to the operation of the business.
- Ability to multi-task, while still showing good organization, strong work quality, and meticulous attention to detail.
- Able to work in a fast-paced environment with conflicting deadlines, and deal with frequent and last-minute scheduling changes.
- Able to exercise tact and diplomacy in dealing with others.
- Ability to organize and prioritize work assignments in an unstructured environment.
- Must be able to remain flexible to constantly changing business demands.
- Ability to maintain a courteous, professional manner with others at all times and work well under stress.
- Ability to interface internally with all departments and externally with outside sales, clients, and partners.
