CTC-RI is seeking a detail-oriented and organized Contracts and Grants Analyst II to manage the lifecycle of contracts and grants and perform general finance-related tasks.
An ideal candidate has a bachelor's degree in business, finance or accounting and 4-7 years' experience with contracts, budgeting, and finance. They enjoy working with small, dynamic teams that work hard and support each other. The individual is organized, process-oriented, and eager to advocate for systems to improve the efficiency and effectiveness of the current contract and grant management processes. This is a newly created position with opportunity to build a new approach contracts and grants management.
Essential Duties and Responsibilities:
- Assume primary responsibility for the organization's grant agreements from a financial perspective.
- Collaborate closely with the Executive Director, Senior Financial Consultant, and Program Managers to ensure the accuracy of grant revenue and expenditures.
- Develop tools and procedures with Senior Finance Consultant and CTC-RI leadership to track the financial performance of grants against approved budgets.
- Monitor grant financial performance monthly and provide program variance analysis and justification to CTC-RI leadership.
- Ensure timely invoice submissions, track invoice payments, and follow up according to contract guidelines.
- Prepare budgets and develop tools and procedures for tracking modifications to grant agreements in collaboration with CTC-RI leadership and the Contract Administrator.
- Resolve finance issues proactively and escalate unresolved issues to CTC-RI leadership promptly.
- Identify systemic issues and recommend process improvements.
- Support compliance with federal not-for-profit grant and contract guidelines alongside the CTC-RI Executive Director and Senior Finance Consultant.
- Review the Schedule of Expenditures of Federal Awards (SEFA) for accuracy and provide audit documents as requested.
- Assist in developing business proposals, including budget creation, budget narrative preparation, and ensuring compliance with RFP specifications and timely submission.
- Establish operating budgets annually and for each contract in collaboration with CTC-RI leadership.
- Blend and track multiple sources of funding and challenge assumptions made during the budgeting process.
- Assist the Senior Finance Consultant in updating accounting procedures and technology.
- Manage procurement of supplies and vendor purchases, maintaining records of all purchasing transactions and payments.
- Reconcile credit card statements.
Education and Experience:
- Bachelor's degree in business, finance, or accounting required; MBA preferred.
- 4-7 years of related experience.
Skills and Training:
- Proficiency in reading, understanding, and creating standard business documentation.
- Ability to work with moderately complex and detailed information with accuracy.
- Basic knowledge of accounting practices and procedures.
- Effectiveness in working with senior leadership on sensitive, confidential, and stressful issues.
- Assertiveness in carrying out job responsibilities professionally and respectfully.
- Experience in creating operating budgets and performing ongoing variance analysis.
- Advanced Excel skills and familiarity with QuickBooks and grant management systems or other accounting software.
- Strong written and oral communication skills.
- Highly analytical with strong problem-solving skills.
- Excellent organizational and time management skills, capable of working effectively within a team and independently.
- Adaptability to a constantly changing environment and willingness to suggest and learn new systems.
