Job Description
Position Summary:
- Newly created contract position to facilitate projects between UC Systemwide Procurement and campuses.
- Responsible for communication across departments and relaying information to SWP management.
- Takes initiative to drive project progress, secure buy-in, and implement deliverables.
- Adapts to evolving project requirements.
- Supports financial components of projects with transactional responsibilities.
Key Responsibilities:
Contracts Administration and Support (25%)
- Applies contract administration skills and organization policies to support the strategic sourcing team.
- Analyzes problems of moderate scope requiring review of diverse factors.
- Leverages expertise of the strategic sourcing team for transaction handling and contract interpretation.
Administrative Support (15%)
- Communicates across departments and campuses, interacting with UC Procurement staff to achieve deliverables.
- Documents and highlights strategic sourcing concerns for UC Systemwide Procurement.
- Relays management expectations and communicates them clearly to stakeholders.
Project Management Support (35%)
- Manages deliverables across multiple projects within timelines and expectations.
- Identifies and removes roadblocks to ensure project completion.
- Defines potential concerns and proposes actions for management to move projects forward.
- Collaborates with departments/stakeholders to meet deliverables.
Financial Support (15%)
- Provides transactional financial support under the guidance of the UC Systemwide Procurement Finance Manager.
- Facilitates financial transactions between departments and campuses.
Support as Needed (10%)
- Adapts to dynamic project requirements and performs other administrative tasks as assigned.
Skills, Abilities, and Experience:
Tools
- Proficiency in Microsoft Office Suite, including Microsoft Project and Excel.
- Familiarity with Artificial Intelligence (AI) concepts.
- Preferred: Exposure to Canva and Smartsheet.
- Required: Familiarity with collaboration tools like Zoom
Skills and Abilities
- Strong written, verbal, and professional interpersonal communication skills.
- Proven critical thinking, persuasion/negotiation, project management, and problem-solving skills.
- Ability to deliver results on time within project parameters.
- Demonstrated organizational, presentation, negotiation, listening, and political acumen skills.
- Capability to work with diverse backgrounds and manage ambiguity.
- Understanding of basic financial concepts and ability to learn/execute financial transactions.
- Demonstrated self-leadership.
Experience
- Minimum 6 years of relevant work experience.
