SOUTH BAY SANDBLASTING & TANK CLEANING, INC. located in San Diego, CA is a shipyard related subcontractor looking to hire a Contracts Administrator Assistant.
Job Summary
We are seeking an organized and detail-oriented Administrative Assistant to join our team and oversee the generation, publication, and maintenance of work orders. The successful candidate will play a crucial role in ensuring the smooth operation of our project management processes.
Must be in San Diego California, we are not looking to relocate candidates at this time.
Key Responsibilities:
Generate/Publish Basic Work Orders:
- Create work orders for various types of availabilities, including CNO and CMAV, as well as stand-alone work items under Government Delivery Orders.
- Establish and maintain a binders for Management and digital work order file containing essential contract information.
- Publish modification work orders funded for growth and new work to existing basic work orders, including the establishment of binders for new MODs that are quoted and funded.
Publishing Requirements:
- Send all published work orders to our Production team and Accounting departments via email.
Generate & Maintain Production Progress Reports:
- Establish and maintain Production Progress Reports for all availabilities.
- Send, receive, and review Production Reports
Report Maintenance and Entry:
- Manage various financial report entries.
- Follow up with customers as needed when Purchase Orders are not issued promptly.
Requirements:
- Proven experience in administrative support roles, preferably in a project management
or construction environment.
- Proficiency in Microsoft Office Suite and project management software.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Effective communication skills, both written and verbal.
- High school diploma or GED, B.A., Technical/Vocational trade school, or apprenticeship
- College degree preferred.
Working Environment and Physical Demands:

Other requirements:
This employer participates in E-Verify. Ability to read technical English is a must. Must be authorized to work in the U.S. Must be able to pass background screening to obtain access to all Shipyards.
