Overview:The Contract Administrator III will conduct functions associated with contract management systems to ensure proper project documentation is created, shared and maintained throughout the life of the project.
Responsibilities:Specific responsibilities include:
• Process equipment Purchase Order (PO), PO modification, Construction Service Agreement (CSA), Subcontract and Subcontract change order requests from Project Team via entry into the JD Edwards system.
• Responsible for the end-to-end completion of orders from cradle to grave.
• Produce and provide all equipment PO/CSA/Subcontract documents and associated Exhibits to vendor/sub and track receipt.
• Indicate receipt of properly executed documents and acceptable COI's, index documents in Paperless filing system and upload to the appropriate folder in the file sharing system.
• Maintain, organize and update all relevant documentation with appropriate structure.
• Actively identify and participate in opportunities for process improvements including generating procedures, updates to the software or other collaborative efforts.
• Enter all approved certificates of insurance (COI's) received by vendor/sub.
• Communicate regularly with the Project Team through monthly meetings to ensure all documentation has been completed and processed.
• Create and organize folders within the Procurement folder on Egnyte.
• Assist the CA Manager with other duties on projects such as kick-off meetings.
• Be an additional resource for resolving operational issues.
• Actively work towards being an SME on tools, procedures and policies for the department.
This position is Full Time, Exempt, Salaried and reports to Contract Administration Manager.
Qualifications:Required Education, Experience, and Qualifications
• 4-year degree or equivalent required.
• Additional 10+ years of related experience (architecture, engineering or construction) or relevant business training preferred.
• Excellent written and oral communication skills.
• High level of organizational skills to successfully multitask in a fast paced environment.
• Must have the capacity to work independently and exercise judgment, constantly reprioritizing to deal with interruptions stemming from potentially more urgent requests.
• The ability to identify contract requests with variations or exceptions and determine appropriate course of action is crucial.
• Analytical and problem solving skills, speed, accuracy and high attention to detail are essential, as is delivering superb customer service both externally and internally.
• Legal or contract related experience is an advantage.
• Attention to detail, advanced organization skills and follow through is required.
• Proficiency in Microsoft Office Software required (Word, Excel, Outlook, etc.)
• Computer savvy with ability to learn and use software systems to carry out document control functions as required. (JDE/Sharepoint/Docusign/Paperless etc.)
• Ability to adjust procedures and processes as instructed, with little daily supervision.
• Effective verbal and written communication skills.
• Detail oriented and willing to tackle various ongoing projects in a fast paced environment.
• Well versed in the industry and the Company’s competitors.
• Excellent multitasking skills, with the ability to perform duties outside of scope of work when necessary.
Preferred Education, Experience, and Qualifications
• Construction project or document control experience is preferred
Travel Requirements
• 0-5% of time will be spent traveling to job site(s)/office location.
Physical/Work Environment Requirements
• Prolonged periods of sitting at a desk and working on a computer.
• Climbing stairs.
• Remaining in a stationary position, often kneeling, standing or sitting for prolonged periods.
• Repeating motions that may include the wrists, hands and/or fingers.
• Quiet environment.
• Light work that includes adjusting and/or moving objects up to 20 pounds.
