SUMMARY: Under general supervision of the Behavior Specialist, performs responsible secretarial and clerical services related to serving various types of cases and completes related work as required. Requires good work habits including regular attendance and punctuality. Has no supervisory responsibility.
HOURLY RANGE:
$19.0074-$26.7454

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Assist Behavior Specialist in administrative and clerical responsibilities. Maintain daily schedule for Behavior Specialist. Coordinate and maintain schedule with respective parties for all meetings involved with the Behavior Specialist. Sort and distribute mail for Behavior Specialist. Maintain Behavior Specialist’s files.
• Attend all meetings regarding consumer’s service, take minutes of meetings and provide a wide variety of information to the Behavior Specialist as requested to ensure the meeting runs smoothly in accord with agency policy, procedures, and guidelines.
• Follow up with communication on case specifics and details as needed and outlined by the Behavior Specialist.
• Maintain updated information to the Behavior Services intranet page with the use of Microsoft SharePoint.
• Coordinate in-office days with Behavior Specialist in accordance with the in-office policies outlined by the Director of Children Services.
• Act as point-of-contact for the Behavior Services department to direct calls to the appropriate staff within the agency. Answer as many questions as possible. Deal effectively with anxious or irate callers.
• Create new forms as needed with the use of Adobe Acrobat, Microsoft Word, and other programs.
• Maintain files specific for each consumer, vendor or other category as outlined by the Behavior Specialist. Responsible for record keeping and data entry/retrieval.
• Full knowledge of the ABA Review protocol to include management of the ABA Review schedule Excel spreadsheet and management of the ABA Review inbox. All ABA Review packets to be sent to the Behavior Specialist the day prior to ABA Review.
• Processes all emails and documents sent to the Autism Inbox according to the Autism Inbox protocol. All reports to be processed at least within 1-2 days of receiving in inbox.
• Maintain monthly tracking of the number of case discussions for ABA Review, all meetings and or conference calls, and reports as outlined in the ABA Calendar to be reported on an annual basis to the Director of Children Services by the Behavior Specialist.
• Request outstanding reports to update client file Respond to request for information. Prepare ABA Review packets as time permits.
• As assigned, assist and facilitate Consumer Service Coordinators. Purchase of Service (POS) authorization requests/POS recalls into the SANDIS system.
• Maintain inventory of department equipment.
• Comply with the Agency’s Injury and Illness Prevention Plan. Notify Behavior Specialist of any unsafe working conditions.
• Successfully complete all assignments arising out of the Agency’s Performance Contract.
• Seek to maintain current and expand relevant knowledge base.
• On a daily basis, maintain an adequate skill level in interpersonal and community relationships.
• Assure that consumers’ rights and dignity are maintained in the provision of services.
• Comply with agency Personnel Policies and Procedures.
• Keep Behavior Specialist informed of pending work, work in progress and problems encountered.
• Maintain good attendance and punctuality.
• Utilize bilingual skills as able and as necessary.
• Perform as a member of a team answering questions, sharing expertise, and generally contributing to the harmony of the team.

MINIMUM POSITION REQUIREMENTS:
• High school diploma or equivalent
• One year of clerical work experience
• Experience with key entry of alpha/numerical data and/or skilled production of typing and processing high volume of documents for permanent records.
• Demonstrated ability to type accurately (40 WPM).
• Must be available to come into the office for meetings, trainings, and any other work related matters.
• Ability to handle change well and be flexible and adaptable in dealing with interruptions, new priorities, and new assignments.
• Ability to follow oral and written direction.
• Ability to establish and maintain effective working relationships with others. Ability to work cooperatively and effectively with others. Perform as a member of a team, answering questions, sharing expertise, and generally contributing to the harmony of the team.
• Assure that consumer rights and dignity are maintained in the provision of services.
• Good verbal and written communication skills.
• Full use of an automobile, possession of a valid California driver's license and liability insurance for the minimum amount prescribed by law or ability to provide for independent transportation. Must have and maintain a safe driving record.
