Consumer Funds Coordinator
Position Summary
Custodial accounts are maintained for adults with intellectual and or developmental disabilities or autism, governed by local, state and federal regulations .As an organizational Representative Payee, the Custodial Department manages the funds of these individuals. RHD currently maintains custodial accounts for clients located in MA and regional sites in various other states. This position is responsible for a full range of bookkeeping duties in a value-based environment.
Essential Duties and Functions:
- Handling and monitoring assigned Representative Payee accounts by maintaining a system for managing financial activities including but not limited to the review of ledger transactions.
- Safeguarding Individual client funds by reviewing accounts and documents daily for accuracy.
- Process check requisitions, review all requests for accuracy, validity and adherence to policies.
- Reconciliation and documentation of Advance and Personal Stipend spending to make sure there is support for all expenditures.
- Initiates recurring stops, additions, and changes in reference to personal stipends, room and board applications and advance spending.
- Maintain and respond to SS correspondence and distribute to appropriate parties in a timely fashion including but not limited to responding to and sending emails.
- Monthly reviews of accounts and investigate discrepancies as well as make any necessary corrective actions.
- Provide support and assistance to programs both locally and regionally as well as other parties involved in the safeguarding and maintenance of client funds using quality high level customer service skills.
- Ensuring all reports are up to date and deadlines are met in a timely fashion.
- Process Representative Payee reports within specific deadlines.
- Filing and archival maintenance of files.
- Maintain spreadsheets for client tracking and other spreadsheets for management of specific accounts and procedures.
- Run aging report monthly and apply room & board accordingly.
- Other related duties as assigned by the department manager.

Requirements
Qualifications:
- HS Diploma/GED and a minimum of one year experience in bookkeeping OR
- Associate's Degree and related course work and/or internship experience
Other Requirements/Certifications:
- Basic understanding of journal entries.
- Solid knowledge of Excel, Word and Outlook (Upper Beginner to Intermediate).
- Quick learner and fast starter with great initiative.
- Excellent professional communication and interpersonal skills both written and oral.
- Ability to work in a fast-paced environment with strong attention to detail with strong organizational skills. Ability to meet deadlines.
- Able to multi-task with understanding how to effectively prioritize work and meet specific deadlines.
- Self-motivated with an understanding of Team Concept with a commitment to group process.
