As our Construction Office Manager/Executive Assistant, you will be the backbone of our operations, ensuring everything runs smoothly. You'll work closely with our owner, carpenters, specialty contractors, and a small team of outside professionals, coordinating administrative processes, managing schedules, and driving efficiency as we expand and remodel our business for the next three decades. This role offers a unique opportunity to make a real impact utilizing a hybrid work environment, combining remote flexibility with in-person collaboration.
Key Responsibilities:
- Oversee day-to-day office operations, including administrative and HR functions.
- Manage the owner's schedule, emails, and appointments.
- Process payroll, accounts payable, and accounts receivable, manage invoices and ensure accurate QuickBooks records.
- Maintain and organize project binders, job documentation, and client communications.
- Coordinate with subcontractors, vendors, clients, and team members to ensure project timelines and deliverables are met.
- Support marketing efforts, including social media management and basic content updates.
- Contribute to the development and refinement of office systems and standard operating procedures.
What We're Looking For:
- Proven experience as an Office Manager, Executive Assistant, or similar role, ideally in construction or a related industry.
- Proficiency with QuickBooks (Enterprise/Online) and Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills with the ability to prioritize and multitask.
- Exceptional communication skills, both written and verbal.
- A proactive problem-solver who thrives in a fast-paced environment.
- Experience in HR functions, such as payroll and employee onboarding, is preferred.
- Familiarity with construction management software is a bonus but not required.
- Flexibility to work in our office and remotely (1 day per week).
