We are seeking a highly organized and motivated Construction Office Coordinator with a strong business development mindset to join our growing team. This onsite role combines office administration and operations support with key responsibilities in client relations, business growth, and project coordination. The ideal candidate will have a strong understanding of construction industry operations, excellent communication skills, and the ability to contribute to expanding our client base and fostering long-term relationships.
Key Responsibilities:
- Office Coordination: Manage daily office operations, including scheduling, document organization, and maintaining supplies.
- Project Support: Assist with project scheduling, subcontractor coordination, and tracking project milestones.
- Document Management: Prepare, file, and distribute project documents such as contracts, bids, and change orders.
- Client Communication: Act as a liaison between clients, contractors, and subcontractors to ensure smooth project execution.
- Invoicing & Financial Tracking: Assist with invoicing, payment processing, and maintaining financial records for projects.
- Lead Generation: Help identify new business opportunities and support efforts to expand the client base.
- Proposal & Bid Assistance: Support the preparation of proposals, bids, and responses to RFPs/RFQs.
- Sales & Marketing Support: Assist with sales presentations, contract negotiations, and marketing activities.
- Research & Market Analysis: Conduct research on industry trends and competitor activities to inform business development strategies.
- Team Collaboration: Work with project managers and field staff to ensure timely project execution and smooth communication.
Skills & Abilities:
- Strong organizational and multitasking skills with the ability to prioritize and manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), project management software, and other relevant tools.
- Ability to work independently and in a team-oriented environment.
- Strong problem-solving abilities and a proactive, solution-oriented approach.
- Knowledge of construction industry terminology and project lifecycle is an advantage.
